The Appointment option in If/Else conditions lets you build more dynamic, customised workflow branches based on appointment-related events. This article explains what the option does, when to use it, its key benefits and how to set it up.

What are Appointment Filter Options in If/Else Workflow Actions?

The Appointment option in If/Else conditions is a filter that lets you customise your workflow automation based on appointment-related events. It's part of the If/Else action, which adds conditional logic to your workflows. Within this action, you can set conditions based on appointments, such as whether an appointment was rescheduled, its start date or its end date.

This helps you automate follow-ups, segment customer interactions and fine-tune workflow actions using appointment data.

The Appointment option inside the If/Else action gives you three filtering conditions:

  • Rescheduled: Checks whether the appointment was rescheduled for that execution.

  • Start Date: Filters actions based on the appointment's start date.

  • End Date: Filters actions based on the appointment's end date.

Note:
The Appointment option is only available when your workflow is triggered by an appointment-related event. It appears when the workflow uses one of these triggers:
Customer Booked Appointment → When a new appointment is scheduled.
Appointment Status → When an appointment's status changes (for example, No show or Cancelled).

Key Benefits of the Appointment Option in If/Else Action

  • More precise automation: Create workflow branches that respond accurately to changes in appointment status.

  • Efficient follow-ups: Send automated emails or SMS, or assign tasks, based on rescheduled appointments.

  • Better lead management: Filter people who booked but didn't attend, so you can re-engage them with targeted messages.

  • Time-sensitive promotions: Let workflows act on appointment start or end dates, which is handy for limited-time campaigns.

Configuring the Appointment Option in If/Else Action

Access the Workflow Builder

Go to Automation and either create a new workflow or open an existing one.

Set Up the Trigger

Choose either Customer Booked Appointment or Appointment Status as the workflow trigger.

Add an If/Else Condition

Click the + button to add an action, then select If/Else Condition.

Name the If/Else Condition (Optional but Recommended)

When the If/Else condition panel opens, the first field at the top is Action Name. By default it's set to "Condition". Renaming it makes your workflow easier to understand, especially when you have several conditions.

Because the If/Else action works on conditional logic, it's best to name it as a question that reflects what the condition checks. This makes the workflow easier to read and manage at a glance.

Example condition names for different appointment filters:

Filter

Example Condition Name

Rescheduled

"Did the Customer Reschedule?"

Start Date

"Is the Appointment After Two Weeks From The Current Date?"

End Date

"Has the Appointment Ended 4 Days Before the Current Date?"

Scenario Recipe

The Scenario Recipe dropdown contains pre-built condition templates for common filtering scenarios. Because we want full flexibility to set conditions based on appointment-related events, we'll choose the Build Your Own option.

Name the If/Else Branches

Each branch in an If/Else condition represents a possible outcome of the condition being checked. By default, branches may not have meaningful names. Renaming them makes your workflow structure much clearer.

As shown in the screenshot, the branches in this example have been renamed to:

  1. "Rescheduled": For when the appointment was rescheduled (True).

  2. "Not Rescheduled": For when the appointment was not rescheduled (False).

Select the Appointment Option

As shown in the GIF below, select the Appointment option to show the three filtering options:

  • Rescheduled (True/False)

  • Start Date (choose a specific date condition)

  • End Date (choose a specific date condition)

After setting up the Rescheduled, Start Date or End Date filter, click + Add Branch to create more conditions.

Make sure each branch has a clear name (for example, "Rescheduled", "Not Rescheduled", "Upcoming Appointments" or "Past Appointments").

Rescheduled Filter

The Rescheduled filter checks whether an appointment has been rescheduled. Once selected, an operator dropdown appears with two options:

  • True: Create workflow actions specifically for customers who have changed their appointment time.

  • False: Branch into actions for customers who haven't changed their original appointment.

Start Date Filter

The Start Date filter lets you refine workflows based on when an appointment is scheduled to begin. Once you set a Start Date condition, the workflow checks each appointment against your chosen settings and runs the matching actions.

When you select this filter, two dropdown menus appear to define the condition:

  • First dropdown: Operators

    • Is: Matches an exact date. The workflow runs only if the appointment starts on the specified date.

    • Is Not: Excludes a specific date. The workflow runs for all appointments except those starting on the selected date.

    • Is Empty: Applies if the appointment has no start date set, which can help you spot incomplete bookings.

    • Is Not Empty: Applies if the appointment has a start date, so the condition only applies to scheduled appointments.

  • Second dropdown: Time-based operators

    • Today: Filters appointments scheduled for today.

    • Tomorrow: Filters appointments set for the next day.

    • Yesterday: Filters past appointments that took place the day before.

    • After: Filters appointments that start after a specific date.

    • Before: Filters appointments that start before a specific date.

    • Date: Lets you manually pick a specific date to filter on.

End Date Filter

The End Date filter works the same way as the Start Date filter, but it applies to when the appointment ends.

Frequently Asked Questions

Q. Why don't I see the Appointment option inside If/Else conditions?

The Appointment option only appears if your workflow uses an appointment-related trigger (Customer Booked Appointment or Appointment Status). If your workflow doesn't have one of these triggers, the option won't be available.

Q. Can I use multiple appointment filters within the same If/Else condition?

No, you can only select one appointment-based filter per If/Else condition. However, you can create multiple If/Else branches in a workflow to apply different filters separately.

Q. How can I use the Start Date and End Date filters effectively?

Use the Start Date filter to run actions based on when an appointment begins, such as sending a pre-meeting reminder. Use the End Date filter for post-appointment follow-ups or time-sensitive promotions.

Q. What happens if a customer reschedules multiple times?

The Rescheduled condition checks the most recent execution. If a customer reschedules several times, the condition is based on the latest reschedule status.

Q. Can I combine the Appointment option with other If/Else filters?

Yes! You can add other If/Else conditions (such as Contact Details or Date Time) alongside the Appointment option to create highly customised workflows.
