Clients can now book services directly from the new ZipLeads Client Portal, alongside their meeting appointments. You choose which Services booking pages appear, so clients can find and book services without separate booking links. Client details are filled in automatically during booking, and eligible appointments can be managed from the same Appointments area. This guide covers setup, the client booking experience and appointment management.
What is Service Booking in the Client Portal?
Service Booking lets clients find, book and manage services directly from the Appointments area of the ZipLeads Client Portal.
Previously, booking appointments in the Client Portal focused on meeting calendars. With Service Booking, clients can also access the Services booking pages you've enabled for the Client Portal.
When a client selects Book Appointment, available calendars and Services booking pages appear together in one booking catalogue.
Clients can choose a service, pick an available date and time, and submit their booking without leaving the Client Portal. Depending on how the booking page is set up, they can book one or more services.
You stay in control of which Services booking pages appear and whether the Appointments feature is available in the Client Portal.
Key Benefits of Service Booking in the Client Portal
Service Booking makes it easier for clients to schedule services, while you keep control of booking availability and portal access.
Unified booking experience: Clients find meeting calendars and Services booking pages together under Appointments, instead of using separate booking links.
Faster booking: Available client details are filled in automatically, so there's less typing.
Multiple service selection: Clients can book one or more services in a single session when your Services settings allow it.
Appointment self-service: Clients can reschedule or cancel eligible service appointments directly from the Client Portal.
Centralised appointment management: Upcoming and Past views make it easy for clients to review scheduled and previous appointments.
Flexible booking visibility: You choose which Services booking pages appear in the portal, rather than showing every booking page automatically.
Controlled portal access: App Permissions decide whether clients can access the Appointments feature.
How to Set Up Service Booking in the Client Portal
Service Booking uses two settings. First, make individual Services booking pages available to clients. Then turn on Appointments in Client Portal App Permissions so clients can reach those pages.
Step 1: Enable a Services Booking Page in the Client Portal
Each booking page must be turned on before clients can find it in the Client Portal. This lets you choose which services are offered through the portal.
In your account, select Calendars from the left navigation menu.
Select Services, then open Booking Pages.
Find the Services booking page you want to make available and open its editor.
In the Edit booking page screen, select Client Portal from the settings menu on the left.
Under Show in client portal, turn on Allow booking from client portal.
Check the Booking page name. This name appears as the title of the booking page's tile in the Client Portal.
Check the Short description. This appears beneath the booking page name in the Client Portal.
Click Save changes.
Repeat these steps for each other Services booking page you want to show.
Step 2: Enable Appointments in Client Portal App Permissions
The Appointments permission controls whether clients can book and manage appointments from the Client Portal. Turn this on in the same account as your Services booking pages.
In your account, select Memberships from the left navigation menu.
Select Client Portal.
Open Settings.
Select App Permissions.
Find Appointments in the list of available applications.
Turn on Appointments.
Click Save to apply the setting.
Result: Clients using the new Client Portal can access Appointments and find any Services booking pages that have Client Portal booking turned on.
How Clients Book Services
Clients book services in the same Appointments area used for meeting calendars. The booking catalogue shows your enabled Services booking pages, and each page decides which services can be selected.
Step 1: Open the Booking Catalogue
Clients start from the Client Portal rather than an individual service booking link.
Sign in to the new Client Portal.
Select Appointments from the left navigation menu.
Click Book Appointment in the top-right corner.
In the booking catalogue, select Services to see Services booking pages. Clients can also find them in the All view.
Find the booking page you want.
Click View on that booking page's card.
Step 2: Select and Review Services
After opening a booking page, clients choose the services they want. The options available depend on how your services are set up.
Select the service from the booking page.
On Review your booking, check the selected service, duration and price.
If more services can be added, click Add another service to include another one.
Review the Booking details summary.
Click Next.
Step 3: Select a Date and Time
The booking calendar shows the dates and times available for the selected service. Clients use these to choose when their appointment will happen.
On Select Date & Time, review the calendar.
Use the month navigation arrows to move to another month if needed.
Select an available date.
Choose a time from the available time slots.
Click Select to confirm the time slot.
Check the date and time in the Booking details summary.
Step 4: Complete the Booking
The remaining steps depend on how the Services booking page is set up. Available client details are filled in automatically along the way.
Review the booking information and any required form or payment details shown on the booking page.
Fill in the required information.
Submit the booking using the page's final booking button.
Review the booking confirmation or appointment-request acknowledgment.
The confirmation screen can show the selected service, appointment date, time, duration, location, staff details and amount.
Important: Clients may see an appointment-request acknowledgment instead of a confirmation. Whether a booking needs manual confirmation depends on your Services settings.
View and Manage Service Appointments
Client Portal Appointments brings meeting and service bookings together, so clients can review their schedule in one place.
View Upcoming and Past Appointments
The Appointments page has a calendar and an appointment list for finding bookings by date or status.
Sign in to the Client Portal.
Select Appointments from the left navigation menu.
Use the appointment calendar to find a booking.
Select Upcoming to see upcoming appointments.
Select Past to see previous appointments.
Click More details on an appointment card to see more information.
Reschedule or Cancel an Eligible Service Appointment
When your service-booking policies allow changes, clients can manage their appointments from the Client Portal.
In the Client Portal, select Appointments.
Open Upcoming.
Find the service appointment you want to manage.
Click More details.
If the appointment is eligible, use the reschedule or cancel option shown.
Whether a client can do this depends on the cancellation and rescheduling rules set for the service booking.
Frequently Asked Questions
Q: Can clients book more than one service in the same booking?
Yes. Clients can select multiple services when your Services setup allows it. The Allow Multiple Service Selection setting in Services Global Settings controls this.
Q: Why might a booking show an appointment-request message instead of an immediate confirmation?
Services Global Settings includes Auto Confirm New Appointments. When this is turned off, new bookings stay unconfirmed until they're reviewed. The message shown also depends on how the confirmation page is set up.
Q: Why can't a client cancel or reschedule a service appointment?
Your service-booking settings control whether appointments can be cancelled or rescheduled. These include whether the action is allowed and when the allowed period ends.
Q: Are Services booking pages the same as Calendar Service Menus?
No. This feature uses Services booking pages. The older Calendar Service Menus feature is a separate booking experience built around service calendars.
Q: Can different Services booking pages have different Client Portal visibility settings?
Yes. The Allow booking from client portal setting is set for each booking page separately. This lets you make selected booking pages available without turning on all of them.
Q: Does turning off Appointments in Client Portal App Permissions delete existing appointments?
No. Turning off the Appointments application only removes access to it from the Client Portal. It doesn't delete the appointment records stored in ZipLeads.
