Coupon codes let you offer discounts on calendar bookings made through the booking widget. Customers enter a valid coupon at checkout to get a discount. The discount is then tracked in the Payments Tab of the Appointment Modal.
Overview of using coupon codes in calendars
Customers can enter a discount code while booking on the booking widget. When they apply a valid code, the widget recalculates the price straight away. The appointment record then shows an itemised Discount (Coupon) line in the Payments Tab.
You control each coupon's rules, including:
Percentage or fixed amount discount
When the coupon is valid
Usage limits
Which products or calendars it applies to
Key benefits of using coupon codes in calendars
Coupons make it quick and easy to run targeted promotions:
Higher conversion: Well-timed discounts make checkout easier and reduce abandoned bookings.
Flexible promotions: Use percentage or fixed-amount discounts for seasonal or limited-time campaigns.
Control and targeting: Limit redemptions per contact or overall, so a coupon isn't over-used.
Better customer experience: Customers can apply or remove a code right in the booking widget and see the price update immediately.
Supported calendars and limitations
Coupon codes are fully supported across all calendars for both the Neo and Classic booking widgets, as well as for Services (v2).
Coupon codes are not supported with the older Service Menu (v1). We strongly recommend moving to Services (v2) for a more modern booking flow, ongoing support, and access to features like coupon codes.
Coupon codes are only available through the booking widget. They can't be applied to appointments created manually in the in-app modal. Support for this is planned for a future release.
How to use coupon codes in calendars
Step 1: Turn on 'Accept Payments' and 'Coupon Codes' in your calendar
Before you create coupons, make sure payments are turned on for your calendar.
Go to Calendar Settings > Forms & Payments.
Turn on Accept Payments.
Once it's on, a Product is automatically created in your Products tab with a Calendar tag. This product can't be deleted.
Scroll down and turn on the Enable Coupon Code option.
This adds a coupon field to your booking widget.
Note: You need to turn on coupons separately for each calendar where you want them.
Note for Services: Coupon code visibility for Services is managed globally. Go to Calendars > Services > Global Settings > Payment Settings and set up Coupon Codes. When coupon codes are turned off, the coupon code field is hidden on the Services booking page.
Step 2: Create a coupon
Go to Payments Module > Coupons and click New Coupon.
You'll see these options:
Coupon Code: Enter your own code (for example, 10OFF) or click Generate to create one automatically.
Coupon Type: Choose between:
Percentage Coupon (for example, 10% off)
Fixed Amount Coupon (for example, $50 off)
Discount Offered: Enter the percentage or fixed discount amount.
Start & End Date/Time: Set when the coupon is valid.
Limit Redemptions: (Optional) Limit how many times the coupon can be used in total.
Limit to Products/Offers: Choose the calendars or products the coupon applies to.
Limit to One Use Per Customer: Stops the same customer using it more than once.
Once you save it, the coupon is ready to share with your customers.
For more on creating coupons, see How to Create Coupons for Products.
Step 3: What your customers see
When booking through the calendar widget, customers see a Coupon Code input box.
If the code is valid:
The discount is applied straight away.
The adjusted total shows before checkout.
If the code is invalid:
An error message appears.
When Charge upfront is turned on, the final amount after the coupon decides whether payment is collected:
If the coupon leaves an amount greater than $0, the customer enters their payment details and pays the discounted amount.
If the coupon brings the final amount down to $0, the booking goes ahead without collecting card details or processing a payment.
Step 4: Track coupon usage
All coupon and payment details are shown in the Payments Tab of the Appointment Modal:
Coupon applied
Discount amount
Adjusted total
Payment breakdown for each attendee
Important update: order creation and $0 transactions
Note: This only applies to Meeting calendars. For Service bookings (through the new Services module), invoices have never been created for partly paid bookings.
1. Change in how invoices are created
Previously, when a booking involved a partial payment, a partially paid invoice was created automatically.
Since this release, an invoice is no longer created in these cases. An order is created instead.
Payments (if needed) can still be collected against the order.
This change helps standardise order-based payment tracking across the platform.
2. $0 calendar booking payment behaviour
When Charge upfront is turned on, payment collection is based on the final amount due after any coupon or discount is applied.
If the final amount is greater than $0, the customer is asked for payment details and the final amount is charged.
If the booking amount is set to $0, the customer isn't asked for card details and no payment is processed.
If a coupon brings the final amount down to $0, the customer isn't asked for card details and no payment is processed.
If a coupon reduces the price but leaves an amount greater than $0, the customer is asked for payment details and the remaining discounted amount is charged.
This means customers making a free booking don't need to enter payment details or go through a $0 payment transaction.
Note: If you want to save a customer's card details without charging them when they book, use Collect Card on File instead of setting up a $0 upfront payment.
3. When an order is created
An order is always created if your calendar has payments turned on.
If payments aren't turned on for the calendar, no order is created.
This applies even when:
No payment is collected at the time of booking.
4. Impact on existing workflows (invoice triggers)
If you have workflows that use the Invoice Created trigger, you'll need to update them.
Action required: Replace Invoice Created triggers with Order Created triggers so your workflows keep running as expected.
Frequently Asked Questions
Q: How do I see the discount after a booking?
Open the appointment and check the Payments tab. You'll see the Discount (Coupon), Amount Paid and Remaining Balance totals.
Q: Can I edit or turn off a coupon after it goes live?
Yes. Open the coupon in Payments > Coupons to update its limits or dates, or to disable it. Changes apply to future bookings.
Q: How can I test a coupon without charging a real card?
Set the calendar's Payment Mode to Test and make a test booking using your payment gateway's test details (for example, Stripe test cards). Switch back to Live when you're done.
Q: Can customers use more than one coupon on a single booking?
No. Only one code can be used per checkout. Customers can remove a code and apply a different one before paying.
Q: Are coupon codes case-sensitive?
No. For example, if a coupon code is 'SUMMER25' and a customer enters 'Summer25', the coupon will still apply.
