Appointment List View in ZipLeads gives you a list-based workspace for managing appointments, instead of a traditional calendar layout. You can filter, sort, customise and take action on lots of appointments at once using Smart Lists. It's ideal for admins, sales teams and support staff who manage appointments across multiple calendars and users.
What is Appointment List View
Appointment List View is a dedicated calendar view in ZipLeads. It shows appointments in a structured list rather than a date-based calendar grid. It's built for managing appointments at scale. You can work from saved Smart Lists that combine filters, sorting and column settings.
Smart Lists turn Appointment List View into a working space, not just something you look at. You can create, update and manage appointments straight from the list. This makes it easier to prioritise work, track outcomes and stay consistent across your team.

How to manage appointments with Appointment List View
Access Appointment List View
You'll find Appointment List View in the Calendars area. It works as a main workspace alongside Calendar View.
Go to Calendars in the left-hand menu.
Select the Appointment List View tab at the top.
Appointment types
An appointment's type is set automatically by the calendar used to book it. Each calendar is set up as a Meeting, Service or Rental, and appointments take on that type when they're booked.
Appointment List View shows appointments based on the type you select. Make sure you pick the right appointment type so you're looking at the appointments you expect.
Creating a new appointment
The New Appointment button lets you book an appointment manually from Appointment List View. This is handy when you're booking on behalf of a contact, such as after a call or when coordinating internally.
Click New Appointment to open the manual booking flow. Choose the calendar, pick a date and time, and link the appointment to an existing contact, or create a new contact if needed. The appointment is then added to the list based on the selected appointment type and Smart List criteria.
Appointment lists and creating Smart Lists
The default lists, Upcoming, Cancelled and All, give you quick access to the most common appointment views.
If you need something more specific, click + Smart list to create your own view. You can save your own filters, sorting and column preferences. Smart Lists let you switch between different ways of managing appointments without setting up the list again each time.
Customise the list
Customising lets you control which appointments appear, how they're ordered and what information you can see.
Open Customise List
Click Customise List to open the settings panel.
This panel is the control centre for your Smart Lists.
Customise List panel
The Customise List panel is where you build and save your appointment list. From here you can rename the current list, apply Advanced Filters to narrow which appointments appear, choose how appointments are sorted, and manage which columns are shown.
Any changes you make here apply to the current list view. You can save them as a Smart List so you can reuse the same setup whenever you come back to Appointment List View.
Apply Advanced Filters
Advanced Filters control which appointments appear in Appointment List View, so you only see the ones that matter for your work. You can apply one or more conditions to focus on things like ownership, status, timing or calendar.
Common filter options include:
Appointment status (for example, Confirmed, Cancelled, No Show)
Assigned user, to see appointments for specific team members
Calendar, to limit results to one or more calendars
Appointment date or time, to focus on a specific range
Contact details, to filter by linked contacts
Filters are combined using AND logic. This means an appointment must meet every selected condition to appear. It makes it easy to build precise views, such as upcoming appointments for one user within a set date range, and save them as Smart Lists for ongoing use.
Add Filter
Use Add Filter to add more conditions and refine the list further. Filters are combined using AND logic, so only appointments that meet all selected criteria will appear. This helps you narrow the list to a very specific set of appointments before saving it as a Smart List.
Apply sorting
Sorting controls the order appointments appear in the list. It's saved as part of a Smart List.
Common sorting options include:
Appointment Time (ascending or descending)
Date Added (ascending or descending)
Sorting helps you prioritise appointments based on urgency or how your team works.
Manage columns
Columns decide which appointment details you can see in the list.
You can:
Show or hide columns
Reorder columns by dragging and dropping
View locked system columns that can't be removed
Column settings are saved as part of a Smart List.
Updating appointment status
You can update an appointment's status straight from the list, without opening the appointment. Click the Status dropdown in the appointment row and choose the right status, such as Confirmed, Showed, No Show, Cancelled or Invalid.
Changes are saved straight away and show everywhere in ZipLeads. This makes it easy to keep appointment outcomes accurate, even when you're managing lots of appointments.
Note: Setting an appointment to Showed or No Show updates the status inside ZipLeads, but it doesn't send an update to connected third-party calendars.
Managing appointments using row actions
Each appointment in Appointment List View has a three-dot (⋮) menu with quick access to more actions. Click this menu to view appointment details, edit the appointment, reschedule it, or delete it if needed. If consent tracking is turned on, you may also see a View Consent option.
View Details: Opens the full appointment record so you can review all its information and activity.
View Consent: Shows consent details linked to the appointment, when consent tracking is turned on.
Edit: Lets you update appointment details such as the contact, notes or assigned calendar.
Reschedule: Changes the appointment date and time while keeping the same appointment record.
Delete: Permanently removes the appointment from the calendar and Appointment List View.
