A walkthrough of the Opportunities area in ZipLeads: choosing a pipeline, searching, sorting, filtering, exporting and importing, showing extra card information, adding opportunities manually, and managing individual opportunity cards.
1. Open the Opportunities area and choose a pipeline
Go to the Opportunities tab.
Click the pipeline dropdown at the top left (showing AAA Phone Call Pipeline by default).
Select the pipeline you want to view, for example Client Onboarding Pipeline.
2. Search for an opportunity
Click the Search box on the right and type what you are looking for. You can search by opportunity name, phone, email, company, tags and contact name, for example typing "jane".
3. Change the sort order
Click Sort next to Advanced Filters.
Use the Sort By dropdown to pick Date Created, Date Updated, Last Stage Change At, Last Status Change At, Name, Stage or Status.
Use the arrow beside the dropdown to switch between descending and ascending.
Tip: Sorting defaults to Date Created descending, so the most recent opportunities sit at the top.
4. Switch between board and list view
Use the two view icons at the top right, next to Add opportunity. The list icon shows the opportunities as a table with columns such as Opportunity Name, Contact, Stage, Opportunity Value, Status, Opportunity Owner, Tags, Created On and Updated On.
5. Open the filter panel
Click Advanced Filters at the top left. The Filters panel opens on the right. By default an Open status filter is applied, which you can remove to see everything.
6. Filter by Owner or Followers
In the Filters panel, click Owner to limit the board to opportunities assigned to a particular user, or leave it as all.
Click Followers to filter by users who are following a lead rather than owning it.
Tip: User access settings can also restrict a team member to only their own data, so they always see just their leads here.
7. Filter by Status
Click Status and tick Open, Won, Lost or Abandon as needed.
Open: new, active leads not yet closed.
Won: leads you have converted and sold to.
Lost: leads who have said they are no longer interested.
Abandon: leads who have not got back to you and are unlikely to convert.
Tip: Leave the default Open filter on when you are working a call list; clear it to see all leads and get an overview of campaign performance.
8. Filter by date and value
Still in the Filters panel, choose any of:
Last stage change for opportunities whose stage changed in the period you pick.
Last status change date for leads whose status changed in the period.
Created on for leads that came into the system in the period.
Opportunity value for opportunities with a particular value.
Updated on, Opportunity won on and Opportunity lost on for updates, sales and losses in the period.
Tip: Created on is handy for looking back at the leads produced by a specific ad campaign, for example all leads from January.
9. Combine filters with AND or OR
When you add more than one filter, use the AND / OR toggle at the top of the Filters panel. AND is the default (for example, open leads created in the last 7 days); switching to OR widens the result (open leads or leads created in the last 7 days).
10. Export, import or restore opportunities
Click the three dots to the right of Add opportunity, then choose:
Export to download a CSV file of the leads.
Import to bring leads in.
Restore Opportunities to recover deleted leads.
11. Choose what extra information shows on the cards
In the same three dots menu, open Additional Info and tick the items you want on the opportunity cards:
Task, so you can see if a lead has a task reminder.
Note, to see notes added to the contact card.
Company name, pulled from the contact card.
Calendar event, showing the date of any upcoming appointment.
You can also choose to hide tags, hide the assigned user information, or hide the lost reason that appears when a lead is marked as lost.
12. Add an opportunity manually
Click + Add opportunity at the top right.
In Contact details, start typing in Primary Contact Name and select the existing contact so the rest auto-populates.
Fill in Opportunity Name, Pipeline, Stage, Status and Opportunity Value.
Click Create.
Tip: Always pick an existing contact where possible rather than typing a new one, so you do not create duplicates.
13. Read the stage totals
Along the top of each stage column you can see the cumulative number of opportunities and their total value for the filters and time period you have selected.
14. Move cards between stages and statuses
Drag an opportunity card (the white area of the card) sideways into a different stage column, or down into a different status.
Watch out: If a stage is used as a trigger in a workflow, moving a card into that stage will fire the automation. For example, dropping a card into Joined offer could start an offer onboarding sequence. Dragging to change status also risks dropping the card into the wrong stage column, so use the opportunity card to change status instead.
15. Open an opportunity card to edit its details
Click the white space on an opportunity card to open it. In the Edit window you can:
Add tags by typing and selecting an existing tag or adding a new one, and remove tags.
Change the Opportunity Name, Pipeline, Stage, Status, Opportunity Value and the owner or followers.
Click Update to save.
16. Book appointments, set tasks and add notes
In the left menu of the opportunity window use:
Book/Update appointment to select a calendar, date and time and click Book appointment, or edit an existing appointment.
Tasks to set a follow-up reminder, for example to call the lead back next month.
Notes to record what happened, so other team members can see you have followed the lead up.
17. Use the quick action icons on a card
Back on the board, hover over a card to use the row of icons at its bottom: call the lead, view their conversations through the contact card view, add tags, add notes, add tasks and add an appointment.
18. Open the full contact card
Click the contact's name (the black text at the top of the card) to open their contact card, which holds more information and their full conversation history.
Notes
The Opportunity won on filter is useful for checking how many sales were made in a given period, such as last month.
