This guide covers how to find the tasks assigned to you from the ZipLeads dashboard, the contact card and the Task List. It also goes through how to add a task with an assigned user, and how to filter the Opportunities board by owner so you only see your own opportunities.
1. Open the Dashboard
Click Dashboard in the left hand menu to load your account dashboard.
2. Scroll down to the Tasks panel
Scroll past the Funnel and Stage Distribution widgets until you reach the Tasks panel. Each task row shows:
the task title
the task description
the contact the task relates to
the assigned user
Tip: Red tasks are overdue. All other pending tasks appear in grey.
3. Change which tasks you see and how they are sorted
In the Tasks panel header:
Use the first dropdown (Pending) to switch between pending and completed tasks.
Use the second dropdown (Due Date (ASC)) to sort by due date ascending or descending, or date added ascending or descending.
Tip: Set the first dropdown to pending if you only want to see outstanding work.
4. Open a task from the dashboard
Click the task title or the contact name in the Tasks panel. ZipLeads opens that contact's card, with the contact details on the left and the tasks section already open on the right.
5. Add a task from the contact card
In the tasks panel on the right of the contact card, click + Add, then fill in:
the task title
the task description
the assigned user
the due date
Click Save.
Watch out: If you do not select an assigned user, the task is saved as unassigned and will not appear when you filter tasks to yourself.
6. Open the full Task List
Go to Contacts in the left hand menu, then click the Tasks tab. The Task List shows the task name and description, contact, assignee, due date and status for every task.
Tip: Overdue tasks are shown in red and tasks due within the next three days are shown in yellow.
7. Filter the Task List by assignee
Click Assignee above the list.
Tick your own name in the dropdown.
Click Apply.
The list now shows only your tasks.
Tip: Click a task name or a contact name to jump straight to that contact's card. Use + New Task (top right) to create a task from here.
8. Open Opportunities
Click Opportunities in the left hand menu. The board opens showing every opportunity for the business, which may not all be relevant to you.
9. Filter opportunities by owner
Click the Filters icon at the top right of the board.
Choose Owner as the filter.
Select your own user and click Apply.
The board now shows only the opportunities assigned to you.
10. Open an opportunity card
Click anywhere on the white space of an opportunity card to open its details, including contact details, pipeline, stage, status, value and owner.
11. Check the tasks on the opportunity
In the left hand list of the opportunity window, click Tasks to see that contact's pending and completed tasks. You can also add a task from here.
Tip: Always set the assigned user on any task you add so it shows up under your own tasks.
Notes
Best practice is to check what is assigned to you through the dashboard Tasks panel and through an owner-filtered Opportunities board.
