Learn how to create an email signature for an individual user, as well as how to insert them into email campaigns

This article will explain how to create an email signature and how to insert them into email campaigns. Navigate to ‘My Profile’ within Settings and scroll down until you see ‘Signature’. This is where you can add an email signature. There are a few options here for you to add in a signature.

Basic Signature:

You could add a basic signature by simply typing in your signature and using the basic tools to format it how you wish. Once you have done this, click update profile.

Inserting an image:

You could insert an image by clicking on the image icon.

You have the option to either paste an image link or upload an image.

If you have made your signature in an external app and saved it as an image, if you click upload you can upload the image directly from your device. You can choose to resize the image as you wish once this has been uploaded.

Insert code:

If you have code for a signature, you can also upload that here as well by clicking on the code icon. You can also create a signature online and generate the code for you to paste here by searching ‘email signature generator’ in your browser and selecting a template, filling in the details and downloading the code.

You can then paste your source code directly into here and save.

You will then see your signature show up here, which can also be customised as you please.

Once you have used one of the above options to create your signature, you also have the option to enable signature on all outgoing messages and to include this signature before quoted text in replies. If you toggle these options on, it will automatically bring up your signature every time you create an outbound email in conversations.

If you don’t wish for this signature to show up in every email reply you send via conversations, you can leave these two options unselected and there are a few different ways you may wish to add your signature:

Custom Values

You can manually enter in your signature as a custom value when you wish to reply in conversations. After you type out your email, click on the + button and select user > signature. This will then enter in your signature as a custom value where when you send the email, your email signature will show as normal.

Creating an email template

You can set up your signature as an email template. This can be quite handy if you have multiple different signatures or even seasonal signatures like for Christmas. It can also be very helpful if you have multiple users you would like to use this template as you can insert custom values in fields like name, email and phone number. To do this, follow the below steps:

  1. Click through to marketing and the second tab titled ‘Templates (Snippets)’

  2. Click on ‘Add Template (Snippet)’ > ‘Add Email Template (Snippet)’

  3. Name your template so you know what it is. E.g. Christmas email signature

  4. Add your subject line. This will be the default title of the emails used with this template however you can update this before sending the email

  5. You could then add in your source code

  6. Once this is added, you can sub out fields like name, email and phone number and enter in custom values instead by clicking on custom values > user and adding in the appropriate fields. Once you are happy with this you can save the template

  7. To add this template to an email, click through to conversations and click on the conversation you wish to reply to

  8. Select email as the reply method and click on the paper icon. Select the template you just created and this will add it to the email. You will see the custom values entered here look like

Adding a signature to an email campaign

If you would like to add a signature to an email campaign, you can do this by navigating to Marketing > Emails > Campaigns.

You can then create an email campaign and add your signature to it using one of the three ways explained at the beginning of this article: basic signature, adding an image or adding code.

You can do this by clicking on the + icon and dragging the element into your campaign template. If you would like to add a basic signature, you would add a text element, if you would like to add an image signature, you would add an image element or if you would like to add your signature using code, you would add the code element.

If you did opt to set up your signature in ‘My Profile’, you also have the option to add it as a custom value: {{user.email_signature}}, where it would autofill to your signature when the campaign is sent.
