Creating Calendars with Multiple Team Members Availability

This video shows you how to create a calendar that multiple team members can be booked through, and set it up to only have slots open based on each team member's individual availability.

This article will explain how you can set up a calendar with multiple team members who have different availability.

Navigate to Settings > My Staff. Here is where you can see all of your staff members listed and edit their availability.

Update the availability of an existing staff member:

  1. Click on the ‘edit’ pencil icon to the right of the staff member you wish to update


  2. Click into ‘User Availability’

  3. Adjust staff members availability


    Option A: Adjust your "Work Hours" default schedule

    Choose this option if you would like this team member to be available for appointment bookings during their typical work hours for the calendar being set-up



    Option B: Create a Schedule

    Choose this option if this team member has a unique set of availability for the calendar being set-up

    • Select the blue text "+ Create Schedule"

    • Rename the new schedule

    • Ensure you have selected the new schedule and adjust staff availability as needed



  4. Once User Availability has been updated, click the blue save button


Adding a new calendar and adding your staff members to the calendar:

  1. Navigate to Settings > Calendars

  2. Click on ‘ +Create Calendar’

  3. Select ‘Round Robin’. This calendar type will allow you to add multiple team members to the same calendar

  4. Add in your calendar name

  5. Select the team members you wish to add to the calendar

  6. Type in your custom URL path and the meeting duration

  7. Click through to ‘Advanced Settings’

  8. Click through to ‘Availability’

  9. Here you have the meeting interval (the amount of time between booking slots as shown on your calendar), the meeting duration (how long you meeting will go for), minimum scheduling notice (the minimum notice period before someone can book an appointment), date range (how far in advance appointments will show on your calendar), maximum bookings per day (how many bookings you can accommodate per day), maximum bookings per slot (how many appointments each staff member can accommodate per slot), buffer time (the time in which you would require between appointments in case you were to go over a booking time). You can update these settings here as you see fit

  10. Save and close. Your calendar has now been created and will reflect the availability of the team members you have added to the calendar.

Note: if you have multiple people assigned to a calendar and they have overlapping availability, when an appointment is booked, the booking will be assigned to the best available team member and that same time slot will then still be available to be booked again as you have another team member that can fill a separate appointment at that same time.
