Prospect Flows - Why you should use them and How to create them.

This article will teach you how to set up a flow to go out to prospective members.

     Prospect Flows are a great way to automate your followup with your Prospects to make sure that none of your leads falls through the cracks and everyone gets followed up with. You can send automatic emails, texts, and postcards to your leads and even send tasks and reminders to your staff to follow up with your leads consistently! Making sure to maintain contact with your leads over time, will ensure that even if they aren't ready to join now, they remember their interest in your business moving forward! Keeping in contact is the key to turning your leads into members. 

Simply set up your Prospect Flows and RainMaker will do the rest of the work for you, starting as soon as the day after they are entered as a prospect in your RainMaker!

CREATING A NEW PROSPECT FLOW

The first thing you will do when creating a Flow is create the settings, like title, the reason you are sending it out, and choose the audience who you will be sending the emails, texts, and postcards out to. After creating the basic Flow settings, you will then be able to set up what you want to send out and when you would like to send it out! 

  • First, visit Marketing > Flows > View

  • When you are ready for Flows to begin sending, be sure to check the box next to “Flows Active” at the top of the screen. If your Flows are not active, you will see an alert message in red.

  • Select “Add New Flow” in the green box at the top of your page.

  • Name your Flow

Choose a name and description for your Flow. This will only be seen by you or your staff and will not be seen by any of the recipients. 😃

  • Give a Description of your Flow:
         This will be a description of what you would like this Flow to do for your Prospects,. An example would be "This Flow goes out to Prospects for our Kids Martial Arts programs and will show them the benefits of our programs, as well as sending them our trial offers and Profit Generators for them to sign up."
         This will help you remember your purpose when setting up steps, or when editing steps as your Prospect followup evolves. 😃 This will only be seen by you or your staff and will not be seen by any of the recipients.

  • Choose Age Groups: 

While you can choose any age group(s) you would like to target, it is best to send to All age groups. If you do choose to target a specific age group, all of your prospects must have age groups assigned to them to receive the Flow. Choosing “All” will ensure all prospects that fit the criteria you set will receive the Flow.

  • Choose a Contact Type:

Choose “Prospect” for this particular Flow.

Choose whether to include or exclude Prospects on a Trial. If you are marketing your trial in this Flow, we suggest excluding those who are already on a trial. If you are sending emails that are not marketing your trials, but offering information about the benefits of Martial Arts, or about your programs and training opportunities, we'd suggest you include those on a trial. 

  • Choose a Gender: 

Choose “All” unless you want this to go out to only a certain gender for something like a Women's self-defense seminar or a free Father's Day Training session:

  • Choose a Trigger - "This Flow Will Run When Our Contact _________"

Next, choose “Becomes a Prospect” from the drop-down bar. This will begin sending the Flow to only Prospect once they are entered into the system. All Prospects entered into the system will be able to get this, no matter how they were entered (Web Form, Digital Waiver, Profit Generator, or manually entered).

  • Choose to Target or Exclude Specific Tags (Optional):

     You will be able to choose a specific Tag, or set of Tags you would like to TARGET with each Flow. This is helpful if you want to send out information to only a specific group of Prospects. That way you can send information to each Prospect based on their interest, instead of bombarding them with with information that does not pertain to what they are interested in.

     A great way to do this is to use RainMaker Web Forms on your website that tag them automatically based on which page of your site they opted in on! :)

If you have a certain Tag you would like to EXCLUDE, you can do this here as well! 

After clicking save, you will be taken to a page where you can add Steps to the flow.

  • Add Steps to your Flow.
        Flow Steps are the actions you would like this Flow to take. You can set this Flow up to do multiple things (emails, texts, postcards, tasks, and reminders). You can set up as many steps as you would like for as long as you would like them to go out! You can even set up multiple steps to send on the same day, or one step per week or month for several years! 😃

Begin by selecting “Add a New Step.”  - Each step will be added individually.

Then, you will choose how many days after becoming a Prospect you would like this step to go out. Then you will choose from the drop-down menu if you want to send them a post card, an email, a text, or whether you would like to set an internal reminder or task for your staff.

After completing the chosen step, you will be taken back to a page to add another step. Again, you may add in as many steps as you would like! 😃
