How to Use the Appointment Book

This will show you how to set appointments, assign them to employees, and manage no shows. Calendar.

The Appointment Book is an important feature because it allows you to keep more prospects and get more prospects. It will allow you to stay organized, track the source of where the prospect came from, see who showed up and did not show for their appointments, and send automatic Appointment Reminders, which will save you time.

To get to the Appointment Book you may go to Calendar > View Calendar or click on the Appointment Book Icon to the left. 

Everyone will see the same Appointment Book and will have access to all appointments, though if you are not able to create appointments or see your name listed in the Staff Calendars section, your user permissions may need to be updated. 

You may choose to see see only appointments for specific staff members by checking and un-checking the boxes in the "Staff Calendars" section on the left. 

To set an appointment double click on the day and time that you want it set for. Example shows Friday at 4:00 PM. 

You may search for existing contacts to autofill their information. 

Next select the staff member responsible for the appointment time. 

The right column will allow you to put in details on how you obtained this contact. This information will be stored in the Stats Overview By Date Range report which will show you a compilation of this information for all Intro appointments made during any date range you choose. 

You may also Tag the contact through this appointment. That way they will be included in your follow up emails or added to a specific group. Simply hit the space bar to see all available Tags. You may also create new Tags if needed. 

The Stage field in the right column is connected to the Prospect Manager. You will want to set all your prospects in the correct stage so that you may follow up with them accordingly. 

The Follow Up Date field in the right column is also connected to the Prospect Manager. The Follow Up Date that you put in will trigger the Prospect to be moved to a list of Prospects that need to be followed up on. 

To set a repeating appointment you may click on "Enable" above the Save Button. That will give you the details to select the days and how many occurrences that the appointment will repeat for. 

Once you have filled out the repeat details, make sure to click the Save button to save the appointment! :)
