How to Use Your Online Portal to Schedule/Reserve a Spot for Classes Online

Using Class Rosters to let your members reserve classes online.

With all the pandemic activity and new health restrictions, you might now have a limit to how many people you have in class. You may want them to start reserving their classes online to ensure you do not have too many people show up at one time!


To have Members reserve classes and set a class limit, you will first set up Class Rosters for each class you would like to be available online. Start by selecting Attendance > Classes > Add New Class. It is best to set up a separate Roster for each time and day you want available.

When setting up your Class Roster, be sure to choose a class size limit, 'Sell this class online through the Online Schedule?', and select 'Free Class' options at the bottom of each Roster!

Once You have your Class Rosters set up, you'll want to be sure your Online Portal is ready to go so that members will be able to login and sign up for classes. 


To set up your Online Portal,  you can go to Forms > Portals > Online Portal. You can configure your portal settings there! Be sure to check the box that says 'Allow to Schedule Classes'.

You also have the option to set up a Welcome Page. This is what your Members will see when they first log into the Online Portal. Be sure to click the "Save" button before leaving the page!

Once your Online Portal set up, you can send your students the provided link to your Online Portal. The link is at the top of your Online Portal page.


When your Members go to log into the Online Portal:

Students will click the 'forgot your password or need a password?' button on the bottom of the page. They will be directed to enter the same email address they have on file with you. They will then receive a temporary password to use to log in. 

Once they have received the temporary password, they will be able to go back to the login screen and enter that password to login to the Online Portal. Once they are in the Online Portal, they will be able to click the 'Schedule Classes' option to choose a class and reserve a spot! 

They will see a list of your available classes and when they have decided on the class they want to book, they will select 'more details'. This will give them a few additional details of the class and have the option to Register.

After they have selected Register, it gives the option to 'Book Recurring' and 'Book this Day'.

**If you have a class limit set for the Class Roster, be sure to tell your students to select Book Recurring. Book this Day will put them in your Class Roster as a Drop-In and not count towards the class limit.

Once they have booked the class, they will receive confirmation that they are scheduled.

****If you have a maximum, number of people you can have in each class and want to have a different group of students attend each class, be sure to remove your students from each Roster after the class has ended! 

To remove students from a Class Roster, select Attendance > Classes > Classes. Click on the Roster you want to remove the members from and scroll to the very bottom. Select, 'DANGEROUS: Remove all members from this roster'. This will ensure that the Class Roster is available for your next group of members to reserve a spot online.
