Overview
When an athlete registers for a BASE session, they enter a request queue for your review. No athlete is activated in your organization until an Admin approves their request. This article walks through how to review requests, approve athletes, and handle duplicate profiles.
Reviewing Incoming Requests
Navigate to Org. Settings in the side panel
Click the Player Request tab
Review the athlete's name, date of birth, and group selection to confirm they belong to your organization
Click Add to officially initialize their Stacks profile and activate their account
⚠️ If you do not recognize a player or they are assigned to the wrong group:
Leave the player in the Requests section — do not approve or delete
Reach out to team@est1845.com or send a message through Intercom so a 1845 Solutions team member can confirm whether the player should be migrated or removed
Handling Duplicate Profiles
When a new player profile is requested, Stacks will automatically flag potential duplicates for your review before the account is created. These appear in a separate tab so they do not get mixed in with standard requests.
To review a flagged duplicate:
Check the Requests to Review tab for potential duplicate profiles
Click Review to open the comparison
If the new request matches an existing profile:
Compare the requested profile against the existing profile shown by Stacks
If you are confident it is the same player, select Overwrite Player to merge the new request into the existing profile
If the new request does not match an existing profile:
Confirm that Stacks has misidentified it as a duplicate
Select Keep as Separate Players to proceed with creating a new profile
⚠️ When in doubt, do not merge.
Merging two profiles that belong to different players is harder to undo than creating a duplicate. If you are unsure, reach out to 1845 Solutions via Intercom or team@est1845.com before taking action.
Common Questions
What happens after I click Add?
The athlete's Stacks profile is activated. They will receive an email with instructions to log in and access their profile. Their data from the BASE session will populate once results are published.
Can an athlete register without being approved?
No. An athlete's profile is not active until an Admin clicks Add. They will not be able to log in or view results until that step is complete.
What if an athlete registered for the wrong group?
Do not approve the request. Leave them in the queue and reach out to 1845 Support to correct the group assignment before activating the profile.
