πŸ‘· How do I add and edit employees in 5-Out?

Employees in 5-Out are added so they can be scheduled, share their availability, and message other team members in the Employee app. They do not have access to the analytics on the web platform or in the Operator app.

This article explains how to add and edit employees in 5-Out.


Adding employees

  1. Navigate to the "Employees" screen under the settings gear on the left hand menu

  2. Review existing employee information in the main screen, noting that:

    • You can review and/or edit employee information by clicking the pencil icon to the right of their names

    • The phone icon to the right of the pencil icon indicates whether they have been invited and/or have accepted the invitation to the app

      • Grey: not yet invited

      • Pink without checkmark: invited but not yet accepted

      • Pink with checkmark: invited and accepted

  3. Click "Add Employee" in the top right corner to add a new team member

  4. Fill in employee details in the "Add Employee" module, note that there are three tabs to complete: basic info, roles, and availability

  5. Click "Add Employee" in the top right to save:

  6. Click the grey phone icon next to the name of the new employee to send them an invitation to join the app:

  7. Click "Invite" on the pop up to send the app invitation

    The employee will receive an email prompting them to download the app. Within the app, they will be able to:

    • See their scheduled shifts

    • See the entire team schedule

    • Request time off

    • Request to switch shifts

    • Start a chat with other team members

    • See team announcements

Editing employees

  1. Navigate to the "Employees" screen under the settings gear on the left hand menu

  2. Review existing employee information in the main screen:

  3. Edit employee information by clicking the pencil icon to the right of their names

  4. Update employee information including name, contact, phone, activity status, roles, and availability:

  5. Click "Update Employee" in the top right corner to save your changes:

Deleting employees

You can set an employee "inactive" when updating them, and it will shift them from the list of "active" to "inactive" employees within the employee module. They will also disappear from the schedule once all their future shifts have been removed.
