Checklists on Web

To ensure you teams complete everything that needs to be done for a particular booking, you can now create checklists that will display for the team so they know exactly what to do on their assigned job.

To access this feature, you will need to be part of our plus plan or have the mobile app add on with your plan.

How it works

WEB:

  • On web, create a checklist with tasks and subtasks to be completed

  • Assign the checklist either to services or to a customer address.

  • Go back and find a booking you want to assign a checklist to

    • Within the checklist section you will see the correct checklists available to be assigned (either the booking has a service with a checklist assigned or the customer address has a checklist assigned)

    • If the checklist should remain on the future series, save the checklist change to this and all following bookings so it remains on the series,

MOBILE:

  • Team will see the checklist added to their booking on the checklist tab

  • Team will not be able to start checking items off until they are checked into the job.

  • Once team has checked into the job, Staff will be able to see a live progress bar for checklist completion based on the total items added to to the checklist(tasks + subtasks)

  • Team will not be able to check out of the job until all items (tasks and subtasks) have been marked as complete

Here are some rules to keep in mind

  • You cannot assign a created checklist to both a service and a customer.

  • You can only assign one checklist to a booking at a time

  • Once a checklist is assigned to an active booking, the checklist can no longer be edited.

    • If a change needs to be made to the tasks or subtasks, the checklist must be archived and a new one created.

      • Archiving a checklist makes it inactive for new bookings but the checklist will be grandfathered onto bookings that already have it assigned

  • If a checklist is assigned to a service, and the service price changes, system will archive the old service and create as new.

    • Checklist will be assigned to the new service by system and any old booking with the old service gets grandfathered into the old service price and checklist

STEP 1: Create a New Checklist

  1. Go to Settings > Services > Checklists and click Add New

  2. Name the checklist, add tasks and subtasks

    1. Checklist must have at least one task in order to be saved.

  3. Assign the checklist either to a particular service or to a customer address

  4. Save Changes

STEP 2: Assign Checklist to a Booking

  1. Find the booking via active bookings page or the scheduler and click into it

  2. Scroll down to the checklist section

  3. Click into the field and select the checklist you wish to add to the booking

    1. Checklists that display will be based on the service added to the booking or based on the customer address.

  4. Click Save changes to save the checklist to the job or series

Edit a Checklist

You are able to edit checklists before they are assigned to a job.

  1. Go to Settings > Services > Checklists and click the gear icon to edit

  2. Within the editing pop up you can:

    1. Edit the Checklist name

    2. Assign to a different customer or assign to a service

    3. Add/remove tasks and subtasks

  3. Click Save Changes to save the Checklist

Archive a Checklist (make inactive)

  1. Go to Settings > Services > Checklists and click the gear icon

  2. Select Archive and confirm change via the pop up

To view Archived Checklists, use the filter on the top of the page
