Works Order Scheduler

Use Works Order Scheduler quickly assign jobs, see everyone’s workload, filter tasks, and stay organised—saving time, reducing mistakes, and keeping your scheduling efficient and clear.

Add-On Availability

  • The Works Order Scheduler is available as an add‑on on the annual plan.

  • Go to System Setup > Subscription and Billing.

1. Open the Works Order Scheduler

  1. Navigate to Service and Maintenance.

  2. The Works Order Scheduler will display available resources and current assignments.

2. Assign Works Orders with Drag & Drop

  1. Locate a works order in the list or timeline.

  2. Click and drag the works order.

  3. Drop it onto:

    • an internal resource

    • a team member

    • or a subcontractor contact

  4. The works order will now appear in their schedule.

3. Switch Between Full Access and Focused Mode

You can find this option in System Setup > Roles > Edit > Options

A. View All Resources

  1. Enable “Can Access Everyone’s Schedule.”

  2. This will display all internal and subcontractor resources on the board.

B. Focused Mode

  1. Turn off the “Can Access Everyone’s Schedule” option.

  2. The scheduler will now show only the resources or jobs assigned to you, helping reduce noise and streamline your view.

4. Search for People or Jobs

  1. Use the search bar at the top of the scheduler.

  2. Type the name of:

    • a person,

    • a job, or

    • a works order.

  3. Results will update instantly to help you quickly find what you need.

5. Apply Useful Filters

The scheduler lets you narrow down what you see using filters.
You can filter by:

A. Job Type

  • Focus on specific categories of work.

B. Equipment Type

  • Show only works orders tied to certain tools, vehicles, or assets.

C. Works Order State

  • View orders by status (e.g., pending, in progress, completed).

Apply these filters from the toolbar to take full control of your workflow.

6. Manage Workflow Efficiently

With drag‑and‑drop assignment, multi-resource visibility, searching, and filtering, you can:

  • balance workload

  • avoid scheduling conflicts

  • quickly respond to changes

  • plan upcoming jobs with ease

The scheduler becomes a central hub for managing operations efficiently.
