Recurring and Dynamic Performance Review Cycles

Set up recurring and dynamic performance review cycles, filter participants, and configure admin permissions for managing cycles vs. responses.

Performance Review cycles can be set up to repeat automatically, enrolled dynamically based on an employee's own data, filtered by any participant attribute, and permissioned separately for cycle management versus responses.

Setting Participants

Participant selection lives in its own dedicated Participants section of the cycle creation flow.

  • Create the cycle from a previous cycle, a blank cycle, or AI-assisted generation, then click Next and Create.

  • From the Participants section, filter using any filter available within the platform (for example, location, team, or office) to target exactly who should be included.

Recurring Cycles (Fixed Date)

Fixed Date cycles run between a specific start and end date, and can optionally repeat automatically:

  • Choose how often it repeats, for example every month or every year.

  • Choose when it ends:

    • After a set number of occurrences

    • On a specific end date

    • Never — the cycle repeats indefinitely

Good to know: If you end the cycle on a specific date, that date must allow for at least 2 occurrences of the cycle at the chosen repeat frequency. The platform will block end dates that don't leave room for at least two runs.

Dynamic Anchor Dates

The second launch option is Dynamic Anchor Dates, which times a cycle to an employee's own data rather than a fixed calendar date.

  • A common use case is a performance review a set amount of time after an employee's start date, for example 90 days or 12 weeks after their Start Date (any date field in the platform can be used as the anchor).

  • Set a completion window, for example giving the employee 2 weeks to complete the review once enrolled.

  • Employees are enrolled automatically when they hit the anchor, and re-enrolled each time the period repeats — there's no need to manually enroll people into recurring review cycles.

Tracking a Repeating Cycle

For a repeating cycle, the cycle view shows which specific period is currently running and which one is scheduled next.

  • For example, a fixed-date cycle set to repeat over 9 consecutive periods shows the period that's currently running and the next one that's scheduled. As the current period finishes, the next one automatically becomes active.

  • Performance Insights can be used to track results across all of the periods in a repeating cycle — for example, generating a prompt that tracks performance across all nine cycles and surfaces trends or changes over time.

Granular Admin Permissions for Managing Cycles

Super Admins can control, per admin role, exactly how much access that role has over Performance Review cycles.

  1. Go to Account Settings > Permissions > Admin Settings.

  2. Click into the relevant admin role (for example, the HR team), then go to Apps and Settings > Performance Reviews.

  3. There are two independent toggles:

    • Manage cycle operations — create cycles, define the structure, edit questions, and delete cycles.

    • Manage responses — view and manage submitted responses.

Good to know: These two permissions can be granted together or separately. For example, you can allow an admin to create a cycle and start it running without giving them visibility into the results.
