Part 2: Sending the I-9 Invitation

Accessing the Portal
Step 1: Navigate to https://portal.zipidapp.com/
Step 2: Log in with your employer credentials.

Step 3: From the Home screen, click "Form I-9s" in the navigation menu.

Checking for Duplicate Invitations
If more than one HR user manages I-9s in your organization, always check the existing I-9 list before sending a new invitation to confirm the new hire has not already been invited by a colleague.

⚠️ Sending duplicate invitations to the same new hire creates compliance risk and confusion. Always check first.
Inviting a New Hire
Step 1: Click "Invite New Hire."

Step 2: Enter the new hire's first name, last name, and email address.
Step 3: Select the appropriate worksite location from the dropdown.
Step 4: Select the new hire's start date using the date picker.
Step 5: Select the Review Method: In Person or Remote.

📌 In Person means you will inspect original documents face-to-face. Remote means you will conduct a live video call. Federal law requires one or the other — document images alone are not sufficient.
Step 6: Click "Send Invitation," then click "Continue."

The new hire receives an email invitation to activate their ZipID account and complete Section 1. Their status in your portal will show as "Invited" until they complete Section 1.
