Manage Your Clerks

Clerk IDs link transactions to the employees who process them. When enabled, staff enter a unique Clerk ID to perform any transaction, allowing detailed reporting by employee.


1. Add a Clerk ID

  1. In the header, open the Admin menu → Point of Sale.

  2. Select the Clerks tab.

  3. Click Add Clerk.

  4. In the pop-up:

    • Business: Parent company.

    • Location: Specific outlet/department.

    • Identifier: Unique ID used at checkout (e.g., numeric for keypad, alphanumeric for virtual).

    • First & Last Name: Associates ID to employee.

  5. Click OK to save.

Best Practices:

  • Numeric only for PIN pad terminals (e.g., 1234).

  • Alphanumeric allowed on virtual terminals (e.g., jsmith01).

  • Keep IDs confidential to prevent misuse.


2. Enable Clerk Mode

A. Virtual Terminal

  1. Go to the Locations tab.

  2. Next to the desired location, click ActionEdit.

  3. Check Enable Clerk Authentication.

  4. Click OK to save.

B. Debit/Credit Terminal

  1. On the terminal, select AckrooPreferences.

  2. Go to Advanced → enter password 112233.

  3. Select ConfigurationClerk ModeON.

  4. Press Red Cancel to return.

Sync IDs: Perform a Settings Update on Verifone/Ingenico to download Clerk IDs:

  • On terminal: AckrooPreferencesUpdates.


3. View Clerk IDs

  1. Navigate to Point of SaleClerks.

  2. The table shows all Clerk IDs, their business, and location.

Note: Clerk IDs cannot be modified or deleted once created.


4. Change or Suspend a Clerk ID

Change (Reassign) ID

  1. Click Add Clerk and enter a new ID for the employee.

  2. Save with OK.

Suspend ID

  1. In Clerks, search by ID, name, or location.

  2. Click ActionSuspend.

  3. Suspended IDs cannot be used for authentication.


5. Edit Clerk Name

  1. In Clerks, search by ID, name, or location.

  2. Click ActionEdit.

  3. Update the First/Last Name.

  4. Click OK to save.

Note: Changes take effect immediately in the Virtual Terminal. For hardware terminals, perform a Settings Update to sync changes.
