[IoT Lock] Smart Lock & Key Box Integration

This section explains the integration with smart locks and key boxes such as RemoteLOCK, KeyCafe, Linkey, and Keyvox. By using APIs, AirHost can automate most of the operational processes with these IoT devices.

What can be automated during integration?

AirHost automates most operations by integrating with smart locks and key boxes such as RemoteLOCK, KeyCafe, Linkey, and Keyvox through APIs. The following processes can be automated:

  • Creating PIN codes: Automatically generate PIN codes aligned with the guest’s check-in and out times upon reservation confirmation.

  • Cancelling PIN codes: Automatically cancel existing PIN codes when a reservation is cancelled.

  • Updating PIN codes: Update the validity period of PIN codes when there are changes in check-in and out times due to reservation modifications.

  • Recreating PIN codes: For changes in room assignments, cancel the original PIN code and recreate it for the new room.

  • Automating guest notifications: Use automatic messaging to inform guests about their PIN codes.

  • Display at check-in: Show room numbers and PIN codes on mobile or tablet devices when check-in is completed.


Adding an IoT Lock Account

To start integration, add an IoT lock account to AirHost. Follow the detailed help sections for specific instructions:


Linking Rooms/Beds to Devices

Navigate to [Admin Console] > [IoT Lock] and click on the IoT account name. Edit settings for each IoT lock device displayed:

Press the [+ Add] button to link this device to rooms or beds.

Choose the property, room type, and room/bed from the dropdown menu and save your changes.

Once linked, you can view the status, usage, and timing of PIN codes by clicking on each device name in the list.

💡 Linking Multiple Rooms to a Single Lock

By adding additional settings, you can link multiple rooms to a single smart lock.

When a reservation is made for any linked room, a PIN code will be automatically generated and assigned.

📢 If you link multiple rooms to a single smart lock, you must purchase a subscription for each room that will use the lock.


Automatically Generated PIN Codes: One PIN per Reservation (per Room)

Even if you manually extend access on the IoT lock side, it is not possible to associate the original reservation’s PIN code with an additional reservation. If an extended stay is created as a separate reservation, guests must use the newly issued PIN code, not the PIN from the original reservation.

Please note that there may be a period during which access is unavailable between the original reservation’s check-out time and the additional reservation’s check-in time. If necessary, adjust the original reservation’s check-out time accordingly.

Admin Console > Property List > Select the Target Property > Settings > Auto Messages > Edit

  • Enabled (ON) (Default / Recommended)
    For multi-room reservations, a separate email will be sent for each room.

    If you need to collect guest information for all guests staying in the reservation, or if room-specific information such as door PIN codes differs by room, be sure to keep this setting enabled.


When a Reservation Is Made for a Room with Child Rooms

In cases such as connecting rooms or entire-house rentals, when multiple child rooms are linked and each child room is connected to an IoT device, a PIN code will be generated for the IoT locks associated with the child rooms when a reservation is made for the parent room.

For IoT lock devices that support PIN assignment for both systems below, the same PIN will be registered for all doors for guest convenience. For devices that do not support this feature, different PIN codes will be generated.

Notes for RemoteLock Integration

When a guest unlocks the room door using the PIN issued on the check-in date, the check-in status in AirHost will be automatically updated to “checked-in,” although there may be a slight delay.

To ensure guests complete your intended check-in flow, we recommend providing the PIN code instructions after check-in.
