Save completed documents to Dropbox

General

Use the Save to Dropbox bot to export completed WorkFlow documents to the Dropbox folders.

Use case: You need to collect Vendor evaluation reports and save them in your Dropbox storage. Configuring the Save to Dropbox bot automatically exports your documents to the selected folder every time the workflow is completed.

How to set up

To add the bot:

1. Click the plus icon after the desired step.

2. Choose Bot and search for the Save to Dropbox bot.

3. Click on the bot to install it.

Trigger

A trigger is an event that causes the bot to start working. The bot can be placed only after a step or any other element (for example, another bot), and it will run once the previous element finishes its job.

Connection settings

In the Destination section, connect the bot to your Dropbox account by clicking the Connect button. You’ll be redirected to the Dropbox login screen. Once you’ve logged in, you’ll be directed back to WorkFlow.


Use the three dots connection menu to disconnect or switch accounts at any time.

Destination

Indicate the files destination by clicking Select folder.

In the Find folder section, select the folder you need and click Select (1). If the folder doesn’t exist, create one by clicking the Create folder icon and entering the folder name (2). To search for the folders faster, use the search bar (3).

After selecting the folder, you can create a subfolder and choose its title:

  1. Package name - the subfolder will contain the signer's name

  2. Package name - yyyy-mm-dd - the subfolder will contain the signer name and completion date

  3. Don’t create a subfolder - documents will be exported without subfolders.

Once finished, click Continue to proceed.

Selecting documents

In the Documents section, select the documents you want to export by checking them in the dropdown. To select or deselect all documents in the workflow, check or uncheck the Select all box.

Choose to save documents in a ZIP archive by checking the Save documents as ZIP file option.

Testing

In the Test section, simulate the bot's performance by clicking Test.

If the bot is configured correctly, the test section will show a ‘success’ message.

At the same time, the test run exports documents to your Dropbox account, as it’s supposed to be when the bot works.

Note: The Test section allows you to test your bot and ensure that it’s set correctly. After you publish your workflow, the Test section will no longer be available. The bot will then work using the conditions set in the Find record section.

Set conditions to control when the bot activates, tailoring it to your specific needs for more efficient automation. For detailed guidance, refer to this article.

Advanced settings

This section allows you to choose how the process proceeds in case the bot fails:

  • Select Proceed to allow the workflow to move to the next signer and automation if the bot isn't crucial.

  • Select Stop if the bot is critical; this prevents the next signer from receiving documents if data wasn't pre-filled from the source of your choice.
