Slack notifications bot

General

Automate Slack messages upon the documents’ completion using the Slack notification bot.

Use case: After processing employees’ evaluation forms, you need to send them notifications in Slack informing them that their documents are ready.

How to set up

To add the bot:

1. Add a new action by clicking a plus icon.

2. Choose Bot and search for the Slack notifications bot.

3. Click on the bot to install it.

Trigger

A trigger is an event that causes the bot to start working. The bot can be placed only after a step or any other element (for example, another bot), and it will run once the previous element finishes its job.

Connection settings

In the Sender section, click the Connect button to link your Slack account.

You will be redirected to the Slack login page. Here, you will have to do the following steps:

  1. Enter the name of your Slack workspace

  2. Log in to your Slack account

  3. Approve the integration by granting WorkFlow access to your Slack data. This step is required to enable the bot to send notifications on your behalf.

The connected account will appear in the Application box. You can disconnect or change it anytime by clicking on the three-dots menu and selecting the option you need.

Click Continue to proceed to the next section.


Setting up recipients and message

In the Destination section, select the type of message recipient. It can be both individuals and groups/channels.

Next, choose how to identify recipients. Select the data type that trigger the message:

  • Fixed value - select a user or channel/conversation name that a document field must match

  • Document field - select a document field (for example, employee’s full name)

  • Signer details - select signer’s email, first name, or last name

  • Workflow detail - select workflow or workflow version name

  • Date and time - select the date and time format

  • Input parameter - select the input parameter

  • Compound field - select multiple data variables, start by typing @.

Once ready, click Continue to proceed to the next section.

In the Message section, enter the text you want to send. To include documents in your message, tick the Attach documents box.

Click Continue to proceed to the next section.

Testing

In the Test section, you can check how the bot works. To do so, click the Test button.

In the pop-up, enter the matching value you’ve indicated in Destination and click Test. A success message confirms proper configuration. Any errors will be displayed as an error message.

Note: Running a test will send a real message to the specified recipients.

If you don’t want to test the bot, click Skip testing.

Conditions

Set conditions to control when the bot activates, tailoring it to your specific needs for more efficient automation. For detailed guidance, refer to this article.

Advanced settings

This section allows you to choose how the process proceeds in case the bot fails:

  • Select Proceed to allow the workflow to move to the next signer and automation if the bot isn't crucial;

  • Select Stop if the bot is critical; this prevents the next signer from receiving documents if data wasn't pre-filled from the source of your choice.
