Shifts can be added in multiple ways. You can add open shifts, or you can assign shifts to a particular employee.
Empty/Open Shifts
To add an empty or open shift:
On the Schedule Calendar view, go to the open shift row.
2. Click on the date box to add a shift.
3. In the first field, add a business unit. If you do not find your desired unit, click “New” to add one.
4. Select a position. Select the time range and breaks in minutes.
5. Click on repeat to see the options. This allows you to create multiple shifts on different dates. You can also select the frequency of Shift repetition. Whether you want to repeat Every week, every second week, and so on. The first week of the month, the second week of the month, and so on.
The system will create multiple shifts with the selected options. Don't forget to select the days on which the repetition will apply. Check the option “do not apply on bank holidays” if you want the system to skip bank holidays.
6. You can set rates. The system shows the default rates for the position set by the admin in company settings. But you can define custom rates as well.
7. If you would like to add any additional information for this staff, you can do this in the Notes to Staff section. Here you can add any extra instructions for staff.
8. Now select whether you want to create an open shift or an empty shift. Open Shift will be open for all employees to apply. Whereas an empty shift, as defined earlier, is a shift that is private and not available to employees. Only admins can assign the shift to the employee. Once done, click on Save.
9. You will see a dialogue box asking you to publish or save only. If you click on save only, it will not be published, and it will not be visible to any employee. If you want it to be visible to all employees, then click on Publish.
Also, you can select the notification type. Whether you want to notify through e-mail or SMS. We want to publish the shift, so we will click on Publish. Now you can see the shift you created on the schedule view.
Adding shifts to employees directly
There are two ways you can assign a shift to an employee. The first one is similar to when we created an open shift, but this time we will click the date box in the person's row to which you want to assign the shift.
Click on the Date box. The rest of the procedure is the same. Select the business unit, and select the position. Select the time range whether you want to repeat the shift on different dates. Insert any additional instructions to the employee. Once done, Click on Save.
Another way is to drag the existing shift to a person's row. To assign multiple shifts, tick the shifts and drag them to the person’s row.
The next step is to publish the shift. If you drag it to a different date, it will give you an error. Click on yes if you still want to move the shift to that date. A new shift will be added, and you need to publish it for the staff to see and apply.
Similarly, moving an open shift to a different date will throw an error, if you click on “Yes”, it will create an unpublished open shift on that date.
Adding shifts through the roaster
Roaster gives you a different view of the schedule. Agency, business unit, and positions are visible on the calendar. Shifts are organized in location and position wise, giving you a bird eye view of the existing shifts.
You can immediately identify the shift location and job position. Shifts are listed under respective positions. The procedure of adding a new shift from their roaster page is similar to the schedule page, with a slight difference.
Follow these steps to add a shift from the roaster page:
1. Click on the date box on the row under the specific position, or you can click on the plus sign at the end of the row of the position or business unit.
2. You will notice that the form is already populated with the business unit and agency name and position. The rest of the procedure is the same.
3. If you click on the plus sign at the end of the row, you have to add the date yourself. Unlike the date box, where the date is automatically selected, here you have the option to select your date. The rest of the procedure is the same.
To assign a shift to a staff member, simply drag the staff from the sidebar onto this shift, and it will be assigned to that particular staff automatically.
Adding shifts through the event page
Shifts on the events page are related to the event. For example, the staff is needed for a conference. In this case, a conference is an event, and shifts created for the event will be used to hire staff for that particular event.
On the event view, empty shifts and open shifts have a pink colour. You can identify an unpublished shift on the event page with a dotted border.
The numbers in fractions show positions filled and total positions. For example, ½ means 1 position filled out of 2 total positions. For a quick view of the shifts, hover over a shift and click the view icon. You can edit and assign the shift from the detail view.
To add a shift, click anywhere on the date box, and a dialogue box will appear. The rest of the procedure is the same.
