Spares Card

The spares card is very similar to the device card, and on the spare part data section stores all relevant attributes for the spare part, and allows also setup "Category" and "Manufacturers" which can be used to filter / sort. In the case below we have some custom fields added "Make your own filed" and "Suppliers" as examples, the suppliers being a drop down selection.

The "Minimum count" field can be set to the minimum level that should be held in stock, dropping below this will allow you to quickly see what needs ordering from the spares view, also via an email of spares that need to be ordered. There is a quick selection on the "Spares" section on the main page to filter only those below.

If you want to track the maintenance costs you should also include the "Cost" of the part, you can choose in settings who can see costs if needed.

EAN Codes allow for parts to be identified through a standard bar code system, especially useful on th Emobile for identification and spares used, where only the quantity used needs to be updated.

Files - Store any technical documentation, pictures etc and in the case above the picture is a favourite and shows on the spares card.

Notes - Can include any test as needed about the part

Stock Balance - Show the stock levels, if you have multiple stocks it will show the levels in each stock. For setting up of multiple stocks read more here

Connected devices & history - shows all the devices where this part has been linked or used, you can see the historical usage from the History. You maybe want to look at last quarters usage to ensure the minim stock levels are set at the desired level.

EAN - In the case of the bearing above which has an EAN code added, you can print out a spare part label from the web application.

On mobile - The BAR code icon appears in a number of locations and reduces the need to manual inputs.

You can also add a part when in a task - Select the spares icon at the bottom of the page and click the bar code icon

Spares - Manual Adding, Importing Spare parts - Excel or API

There are 3 ways to initially add the spare parts:-

  1. Manually - From the "Spares" main section

  2. Use the Import and Export functionality - Read more in this separate article

  3. Using the API Option if ordered - Requires API experience

Spares connecting via API and ERP / MRP or account software

If you are using an ERP / MRP system or accounting to manage the Spares parts you may want to link to the Alldevice spares module, this can be done with the API option, which allows data exchange. It can also be used for initial uploading of spare parts and data. For the full API documentation click here.

NOTE: You can copy a Location with devices or an individual device. When copying a device all the spare parts that have been added to the device are also copied.
