A User / Performer has left the company can I re-assign their tasks and what should I do with the user account

How to manage a user leaving and the need for their tasks to be re assigned, and ensure that access is blocked but history maintained.

When a user leaves there are a few steps to consider:-

  1. Re assigning of the tasks that were assigned and / or updating Task templates if the leaving user is assigned to any templates

  2. Disabling further access and freeing a user account to add a new person

  3. User History shows who actually completed the tasks vs updating all to the new user

  1. To see the tasks use the Task view and filter by Performer and Only incomplete task, you can also filter by locations, groups etc see below picture. From this list you can click on the performer name in the case below Richard and select another person, you will need to unselect the current else it will add multiple performers.

For the Templates

2. It is best to disable access for a user that has left, and create a new user so all history remains tied to the actual person that completed the task. You could just update the user data and password for the old user account and re use for the new person, but all the history would show the new person.

To disable a user then turn off all 'Can log in' checkboxes and performer and notification check boxes on the company section of the user settings ie click on the user and select the Companies Tab as per below. Most will see one Company row.
