Shift swaps: how they work and how to approve them

The full swap lifecycle from pending partner through to approved, including what happens when a swap is not approved in time.

Shift swaps let staff arrange cover between themselves, with the manager keeping the final say. 🔁


The lifecycle

A swap moves through a defined set of states, and both employees can see where it is at any point.

  1. Pending partner — the swap has been offered and All Gravy is waiting on the other employee

  2. Then either:

    • Partner declined — the other employee said no, and the swap ends here

    • Pending manager — the other employee accepted, and it now needs approval

  3. Then either Approved or Rejected by the manager


Two states worth knowing about

  • Cancelled — the employee who offered the swap withdrew it before it completed.

  • Auto-reverted, unapproved — the swap was accepted by the partner but never approved by a manager in time. Rather than leaving a shift in limbo, All Gravy reverts it to the original employee.

That last one is the one to watch. If staff report that "the swap went through and then went back", this is why: nobody approved it. The shift stays with whoever was originally scheduled.


For managers

Approve or reject swaps from the schedule. A swap sitting in Pending manager is not yet in effect, so approve promptly to avoid an auto-revert leaving a shift uncovered in practice, even though it looks covered on paper.
