Employee documents and contracts: where they live and who can see them

Employee Documents holds a person's paperwork, including their contract. Visibility is set per role. Contracts carry four states: Assigned, Pending signature, Signed and Recorded.

Who can see a document

Visibility is set per role. When you add a document you choose which roles can open it, so a disciplinary note and a food-safety certificate can sit on the same profile without everyone seeing both.

You can also add your own custom tags to group documents the way your business thinks about them.


Contracts sit here too

A contract is a document with a status. There are four:

  • Assigned — the contract has been given to the employee

  • Pending signature — it is waiting for them to sign

  • Signed — they have signed it in All Gravy

  • Recorded — All Gravy holds the contract, but no signature was captured here

Use Recorded when the paperwork was done on paper or in another system and you only need All Gravy to hold the record.


Two versions of Contracts, one label

Both versions are labelled Contracts, so the menu looks the same either way. What differs is what is inside:

  • V1 — assign and record contracts

  • V2 — adds contract templates and e-signature, so a contract can be generated and signed without leaving All Gravy

If you expected templates or signing and cannot find them, you are on V1.


Pay figures on shifts are separate

Per-shift pay figures in Time Tracking are gated by Contract V2 shift pay, which is its own setting. Having V2 contracts does not by itself put pay on shifts.
