Departments and Responsibilities: how they differ from Locations

Departments and Responsibilities are account-level tags for organising a rota. Locations are the real places you operate and control what people can reach. Changing a department does not change anyone's access.

Departments and Responsibilities are tags you use to organise a rota. They are not the same thing as Locations, and mixing them up is the usual cause of "I changed it and nothing happened". 🏷️


The difference in two lines

  • Locations are the real places your business operates. They control which people and which data somebody can reach

  • Departments and Responsibilities are labels for the work itself — kitchen, bar, floor, keyholder — used to organise shifts

Changing somebody's department does not change what they can see. Changing their location does.


They are set at account level

Departments and Responsibilities are defined once for the whole account, not per site. Every location draws from the same list, which is what makes one site's rota comparable with another's.

If you need a label only one site uses, add it to the account list and simply do not use it elsewhere. There is no per-site list.


When to use which

  • Somebody has moved to a different site — change their location

  • Somebody has moved from the kitchen to the bar — change their department

  • Somebody needs to be able to see more people or more content — that is permissions, not either of these
