Configuring Budget Preferences

Learn how to set up budget preferences to customize the information displayed to your students, streamline the creation of quotes, and adjust the layout of your proposals.

STEP 1 - Access

Click on the Profile Picture Icon in the upper-right corner > Settings > Budget Preferences.

STEP 2 - Configuring General Preferences

In this section, you can change:

  • Notification settings,

  • Information displayed to students,

  • Search preferences, and

  • Default validity for your quotes.

Key Options:

  1. Import from Other Offices:
    If you’ve already configured these preferences for another office, you can import them to save time.

  2. Use Expired Values:
    Keep this option active if you want to view retroactive values (e.g., see 2019 values in 2020).

  3. Show Student Code in Quote:
    Enable this option to display the unique student code (based on their order of entry in the system) in the quote.

  4. Send Notifications for Value Updates:
    Activate this if you want to receive notifications whenever schools you’re linked to update their prices. You can add multiple emails, separating them with commas.

  5. Budget Preferences for Consultants:
    Keep this option active to allow consultants to modify the displayed information in the budget, such as:

    • Additional fees

    • Promotions

    • Quote expiration dates

    • Exchange rates

    • Partial item values

  6. City / Country Preferences:
    If you exclusively sell in a specific city or country, you can set it here so that searches for courses, accommodations, or fees are pre-suggested for that location.

6. School Preferences:
Speed up your search by pre-configuring schools the system should suggest when selecting a city.

  • Example: If you select Dublin, the system suggests EC School.

  • Important: You must have a partnership with the school for this to work.

7. Default Quote Duration:
Set the validity of your quotes. This can also be adjusted during the quote creation process.


STEP 3 - Configuring Online Budget Layout

The Online Budget is a proposal you send to students via email. Unlike PDFs, online budgets are interactive, allowing students to:

  • Watch videos,

  • Access more detailed information, and

  • Provide feedback on whether they liked the quote.

Key Options:

  1. Import from Other Offices:
    If you’ve already configured these preferences in another office, click this option to import them quickly.

  2. Show Header Banner on Quote Details Page:
    If you send more than one quote in an online budget, students can select which one they want to view in detail. Enable this option if you want the banner you’ve defined to be visible when they access the details.

  3. Customize Your Template:

    • Background Color: Select a background color for your header. You can use a hex code to match your brand's color.

    • Text Color: Choose the text color for your online budget link, also using a hex code for branding consistency.

    • Header Image Upload: Upload a header image (recommended dimensions: 1500px width, 450px height).

    • Footer Image Upload: Upload a footer image (recommended dimensions: 1500px width, 300px height).


STEP 4 - Configuring Budget PDF

Select this option to customize preferences for your budget PDFs.

  • Banner Image Upload: Upload a banner image to make your PDF more visually appealing. While the width is fully responsive, we recommend the same dimensions as the online budget (1500px width, 450px height).

  • Import from Other Offices: Import settings from another office to speed up the configuration.
