Accessorials are a crucial part of financial management for Loads and Trips, helping ensure that invoices and payments are calculated accurately. Alongside Linehaul and Fuel Surcharge, accessorials play a key role in financial settlements. However, previous limitations in how accessorials were handled led to inefficiencies, confusion, and a lack of flexibility.
This update will be gradually rolled out across tenants, meaning availability may vary. If you donāt see the new functionality immediately, rest assured it will be enabled for your account in the coming weeks.
Whatās Changing?
With the introduction of Custom Accessorials, users now have:
Accessorials in the moneybox will now display within the customer, carrier, driver, and owner cards they are related to. See comparison below.
The ability to set rates, quantities, amounts, and units for each accessorial.
More control over custom accessorial types.
A streamlined process that ensures accessorials are assigned to the correct entity (Customer, Carrier, Driver, etc.), eliminating ambiguity and improving settlement accuracy.
This update not only improves how accessorials are added and tracked, but also addresses common pain points users have expressed. The ability to configure accessorial types and define rates ensures consistency, while the redesigned interface makes the entire process more intuitive.
Creating Accessorial Types
Users can manage accessorials under Settings > Accessorials.
Each tenant starts with a set of pre-existing accessorials, which are mapped to the most relevant type. Any that donāt fit a predefined category are grouped under Other.
To create a new accessorial, click Create Accessorial in the top-right corner.
Required fields:
Type Name: A unique identifier for the accessorial.
Rate Type: Determines how the charge is measured (Flat, Weight, Distance, Volume, or Time).
Optional fields:
Requires Stop: Ensures the accessorial is linked to a specific stop on a Load.
E-Check Type in Driver App: Makes the accessorial available for drivers in the mobile app.
Adding and Managing Accessorials
š” Heads up! Only Admins/Partner Admins can create custom accessorial types. If your company uses an accounting integration like QuickBooks, it's also up to Admins to ensure these accessorials are properly mapped in the integration's settings.
When adding an accessorial, users must now select the applicable entityāCustomer, Carrier, or Driverāensuring that each accessorial is correctly categorized.
After selecting the Type, users enter the appropriate Rate and Quantity, based on the predefined Rate Type.
If the accessorial requires a stop, users will be prompted to select the correct stop.
Files can be uploaded for record-keeping, though this step is optional.
Once added, the accessorial appears in the Money Box section under the relevant entity.
Users can also edit or manage accessorials by clicking on them, with options to:
Edit Amount
Mark as Paid
Attach Receipt
Make Unavailable for Settlement
Remove Accessorial
E-Checks & EDI Integration
When generating an E-Check for a Driver, Accessorial Types will now appear under the Reason dropdown for easy selection.
For tenants using EDI, itās now mandatory to map Accessorials for each EDI partner. This can be done in EDI & Visibility > Partner > Accessorial Mapping, where users can assign appropriate codes and descriptions for each Accessorial Type.
Additionally, users now have the ability to move Driverās E-Checks across Loads and Trips, providing more flexibility in financial adjustments.

"Advance" is a reserved system type in Alvys, meaning it is not available for Accessorials but can still be used for E-Checks. This is because "Advance" and several other categories are treated differently within the system and do not generate accompanying accessorials.
If you need to track driver advances as an accessorial, you can create a custom accessorial type (e.g., "Driver Advance") under Settings > Accessorials. Just make sure the name is unique and does not match any system-reserved accessorials.
