Facility Events Report

This customizable report shows details on each event occurring in your facility schedules.

The Facility events report is a great way to review how facilities are used (or underused) and helps you analyze trends in the types of events taking place at each facility over time. It provides the facility name, the event name, the event type, start/end times and more!

In this article we'll go over some important details about this report's characteristics. Don't forget to check out the Facilities > Overview subtab to visualize your facility usage in a pie chart.

📑 Columns and filters

After selecting your date range, the report generates a snapshot of all your facilities with 7 default columns of data. You can include additional columns of data such as (but not limited to): participant information, invoice date, booking Id's, etc.

Although there is no limit to the date range, the report is limited to 30 000 rows of data at a time (and that's a lot!). Hit the export icon to open the report in Excel.

🔴 This report currently excludes archived events. Stay tuned while we work on adding additional filters to view all events, active events or archived events.

Bookings associated to a contract are distinguished with the 'Invoice description' column that provides the contract number, version and name.


🏢 Event types

Scheduled events are categorized by type and indicate how the facility was booked:

  • Activity: Events created in the Activities tab that are linked to a facility.

  • Contract: Events occurring in a facility that are linked to a rental contract.

  • Facility booking: All admin bookings created directly in the facility calendar.

  • Holiday: Holidays created in the Account > Calendar subtab. Applies to all facilities.

  • Online bookings: Online facility bookings reserved via your e-store.

  • Private lesson: Private lessons reserved via your e-store.


❓ Blank fields

When viewing your report, you may notice some fields are blank. Some columns provide data that are not applicable to all event types. If you have any questions, let us know at product@amilia.com.

For now, here's what you can expect:

  • Id columns are populated based on the event type. Contracts have a contract Id, Activities have an activity Id, etc. Amilia and Invoice Id’s can be searched in the Clients tab in SmartRec. Other Id’s can be cross referenced in other reports where the Id is available.

  • Invoice details are applicable to Contracts, Online bookings, Facility bookings & Private Lessons (since the reservation belongs to one unique participant). Other event types don't provide invoice details since multiple clients could be registered or an invoice doesn't apply.

  • The Community segments field is blank if the participant isn't included in an existing segment.

  • Private lessons may not display an event name. This behavior will be addressed.
