Published vs. Unpublished Status in PXM

Learn how published/unpublished status controls content visibility in PXM, which user roles are affected, and how to set it on folders and files.

Overview

Published status controls whether content is visible to read-only users in PXM. It applies to three content types: Category Folders, Product Folders, and Files.

Who Can See What

Published status determines visibility based on user role:

  • General User (read-only) — can only see published content. Unpublished folders and files are completely hidden from this role.

  • General Plus and above — can see both published and unpublished content.

If a General User reports that they can't find a folder or file, unpublished status is one of the first things to check.

How to Identify Unpublished Content

For Products and Files, a light blue "Unpublished" tag appears on the tile in the grid view, making it easy to identify unpublished items at a glance.

Only users with General Plus access or above will see these tags, since General Users cannot see unpublished content at all.

How to Set Published Status

On a Folder (Category or Product)

When creating a new folder:

  1. Open the Folder Panel and click New Folder

  2. Fill in the folder name and settings

  3. Set the Published toggle — On = visible to General Users; Off = hidden from General Users

  4. Click Save

You can also update the published status of an existing folder through its folder settings.

On a File

During upload, published status can be set as part of the file's metadata in the upload panel.


Select Show Advanced Settings in the Upload drawer.

Then you'll find the option to Publish or Unpublish.

It can also be updated after the fact from the file's details page in the Visibility tab.

Bulk Permission Changes

You can change the permissions of Files and Products in Bulk by selecting the files or products you want to update, select the three dot button in the bottom right, then select Edit Permissions.

Please notice that if you change these permissions in bulk this will Unify the permissions across all products or files that you selected.

Via Import

The Standard Data Import Template includes a Published column. Set the value to True or False to control published status in bulk across products.


Things to Keep in Mind

  • Published status works alongside Org Unit (Region) visibility — a General User must have both the right regional access and be viewing published content to see it.

  • If you don't see the option to create or edit folders, contact your administrator — you may not have the required permissions.

  • Changes to a user's role or permissions require them to log out and back in to take effect.
