Overview
PXM lets you update permissions across multiple products or files at once using the bulk permissions drawer. The drawer gives you precise control: only the fields you explicitly change are updated — anything you leave untouched stays exactly as it is on each individual item.
The drawer applies to three permission fields: Org Units, Roles, and Published status.
How to Access
For Products
Navigate to your Products view.
Select the products you want to update.
Click the three-dot menu in the bottom-right corner of the screen.
Select Edit Permissions.
For Files
Navigate to your Files view.
Select the files you want to update.
Click the three-dot menu in the bottom-right corner.
Select Modify Metadata and Permissions.
Note: For files, the standalone single-item Edit Permissions drawer is replaced by the Modify Metadata and Permissions option when working in bulk.
The Three Edit Modes
The bulk permissions drawer gives you three modes for each permission section: Add, Remove, and Unify. You choose the mode that fits what you're trying to accomplish.
Add
Merges new values on top of what each item already has. Any field you leave empty is ignored — it won't overwrite or clear existing values. Use this when you want to extend access without disrupting what's already set.
Remove
Displays the values that are actually present across your selection, with a count showing how many files or products carry each value (e.g., "3 of 5 files"). Only the values you check are removed. Use this when you need to revoke specific access without touching anything else.
Unify
Each section (Org Units, Roles, Published) has its own checkbox. Check a section to replace that field on all selected items with whatever you enter. Leave a section unchecked and it's not touched. Use this when you want to standardize a permission across a selection while leaving other fields alone.
Permission Fields
Org Units
Controls which regions (org units) can see each item. Add, remove, or unify org unit assignments across your selection.
Roles
Controls which user roles have access. Add, remove, or unify role assignments.
Published Status
Controls whether content is visible to General Users (read-only). Published items are visible to all users; unpublished items are hidden from General Users.
When setting Published status with no start or end dates, content is published indefinitely. No dates are required.
Things to Keep in Mind
Nothing is required. Save only sends what you explicitly entered or checked. Fields you leave blank or sections you leave unchecked are not modified.
Published status works alongside Org Units. A General User must have both the right regional access and be viewing published content to see it.
User role changes take effect after the user logs out and back in.
