Configuring a Microsoft Teams folder for Anima Documents syncing

Updated over 2 weeks ago

This guide outlines how to configure a shared Microsoft Teams folder to act as your local ingestion folder for syncing documents with Anima.

⚠️ Note: This guide assumes your organisation already uses Microsoft Teams as your primary platform for shared document storage.

Step 1: Create or Choose a Folder in Teams

  1. Open Microsoft Teams and navigate to the relevant Team where documents are stored.

  2. In the Files tab:

    • Use an existing folder if one already exists for document sharing, or

    • Click New → Folder to create a dedicated folder for Anima-related documents (e.g. "Anima Documents").

✅ Tip: Make sure that all team members who scan or upload documents have access to this folder.

Step 2: Sync the Folder to Your Computer via OneDrive

To enable local file access and compatibility with Anima:

  1. In the Teams Files tab, click the folder icon to Add shortcut to OneDrive (circled in image).

  2. Ensure that this folder now appears in your File Explorer under your organisation’s OneDrive folder:

⚠️ In order for your OneDrive folders to appear in your File Explorer, you need to have the OneDrive app installed on your computer. During the setup process for this, it will ask you to specify a location for the OneDrive folder within your files.

Step 3: Select the Folder in Anima

Now that the folder is synced to your local device:

  1. Open Anima. Navigate to Settings —> Organisation Settings —> Documents.

  2. Navigate to Ingestion from local folder and click “Select a folder”.

  3. You should now be able to find the OneDrive folder containing the shared Anima Documents folder you’ve created, and select this as your local ingestion folder.

  4. Make sure you click “Save Changes” at the bottom of the page.

✅ You're All Set!

Your Microsoft Teams folder is now connected to Anima via OneDrive. Any documents placed in this folder will automatically sync and be ready for use in Anima.

If you encounter issues with syncing or folder visibility, confirm:

  • The folder is fully synced and available in your File Explorer.

  • Other team members follow the same setup for consistent access.
