Sending Documents in a Text Message

Apploi now allows you to send electronic documents to applicants that can be filled out and signed directly online via text message. Since onboarding documents through Apploi are mobile-friendly, why not send them to candidates on their phone?

Whether is federal tax forms, reference requests, or employee handbook details, Apploi can help speed up your pre-hire process through online onboarding. If you do not currently use Apploi's onboarding documents feature and would like to get this set up, please reach out to your Customer Success Manager and send a file of the documents that you would like to have added.

You'll first want to create a text template that can be used for sending documents. Follow the steps below to create the original template and you'll be ready to send documents via texting.

Creating Text Message Template for Sent Documents

Click your name in the top right corner > click Email & Text Templates.

Click New Template +

Under the "When to send" dropdown, select Manually send documents for hiring. Click the Text Message tab:

Enter Sent Documents for the template name.

Create the templated message you want. You can add any merge fields you'd like to the message to help customize it - find out more about all our merge fields here.

When you reach the point in your message that you'd like to include the link to documents, click the Insert merge field dropdown and select *|SIGNING_URLS_BLOCK|* :

Click Create to save the template.

Sending Documents to the Candidate

Go to Applicants. Find the candidate you need to send documents to and click to send Text Message (remember, you can do this under the Actions column or by clicking the candidate's name and using the Actions dropdown at the top right)

Select the template titled Sent Documents

If you have multiple document packets available to send, choose the correct one from the Document Packet dropdown that appears. If you only have a single packet of documents in Apploi this will populate automatically.

You'll see the message you created in the template now appears as the body of the text to send.

Click Send and text will be sent to the candidate including a link to complete those onboarding documents.
