How to send documents to candidate via email or text

Apploi now allows you to send electronic documents to applicants (via email or text* message). These documents can be filled out and signed directly online by the candidate.

*Since documents through Apploi are mobile-friendly, why not send them to candidates on their phone?

Whether is an employment application, offer letter, federal tax forms, reference requests, or employee handbook details, Apploi can help speed up your hiring process with our digital documents feature. If you do not currently use Apploi's documents feature and would like to get this set up, please reach out to your Customer Success Manager (or the Apploi Support team) and send a file of the documents that you would like to have added.

You'll first want to create a email or text (or both) template that can be used for sending documents. Follow the steps below to create the original template and you'll be ready to send documents via text or email.

Creating Message Template for Sent Documents

Click your name in the top right corner > click Email & Text Templates.

Click New Template +

Under the When to send dropdown, select:
Manually send documents for hiring

Click the Text or Email Message tab:

Enter the template name. This will not be seen by the candidate so name it whatever is easiest for you and your team to remember.

Create the templated message you want. You can add any merge fields you'd like to the message to help customize it - find out more about all our merge fields here.

When you reach the point in your message that you'd like to include the link to documents, click the Insert merge field dropdown and select:

*|SIGNING_URLS_BLOCK|*

Click Create to save the template.

Sending Documents to the Candidate

Go to Applicants. Find the candidate you need to send documents to and click to send email or text message (remember, you can do this under the Actions column, by clicking into the last contacted column or by clicking the candidate's name and using the Actions dropdown at the top right)

Select the template you created

If you have multiple document packets available to send, choose the correct one from the Document Packet dropdown that appears. If you only have a single packet of documents in Apploi this will populate automatically.

You'll see the message you created in the template now appears as the body of the text or email to send.

Click Send and text or email will be sent to the candidate including a link to complete those onboarding documents.

You can also send documents to candidates by opening the Document Signing section in the candidate profile. Select the button New Document Packet:

Then select the document or documents you would like to send to the candidate:

If you send documents to candidate via email, you can click the link in the sent message on Apploi to see what the documents look like to the candidate.

Or better yet, add yourself as a test candidate and send the documents to your test candidate.

After you have sent the documents to a candidate you will be able to track if the documents are completed in the Document Signing section of the candidate's profile and download completed documents. Read more here.
