The Short Version

If your custom roles differ in content or spelling from the 10 standard roles, it will create discrepancies. If you don't mind them, you can leave them – everything will continue to operate normally. If you want to streamline your roles, contact your CSM and we'll take care of it right quick.

The Details

Our recent Expanded Credentialing release allows you to run credentialing inside of Apploi, across 10 different roles in multiple states, easily reducing time-to-hire and saving endless hours of work. Make sure you learn how to get the most out of this feature.

If you are an Apploi Onboard user, you may have already set up your own custom roles, in order to fit your organization's workflow.

In the screenshot above, you can see your organization's roles in the highlighted column.

Click on the filter button to see available roles in your organization:

Your custom roles may be different than our 10 standard roles. For example, you may have set up a role called "c.n.a." or "Certified Nursing Aide" while the standard is called "CNA".

If your custom roles differ from the 10 standard roles in our Expanded Credentialing feature, they will not map to each other. Instead, the system will treat it as if the role didn't exist: it will create a new role that does credentialing but does not have any other configurations you may have associated with that role. This is true whether the role never existed, or whether it existed but was spelled out or spelled differently.

On the other hand, if the spelling of the custom and standard roles do line up, the system will automatically map them 1:1. You will see one role which combines your existing configurations (automations, onboarding, packets, workflows, etc) with your new credentialing features.

STANDARD ROLE SPELLINGS

As a reminder, here is how the 10 roles covered by Expanded Credentialing are officially spelled:

  • LPN

  • CNA

  • RN

  • OT

  • OTA

  • PT

  • PTA

  • SLP

  • VETERINARIAN

  • VET TECH

And here is a list of what each acronym stands for and which states are covered.

WHAT TO DO?

  1. If this doesn't bother you at all, you don't have to do anything. You can leave it as is.

  2. But if you want your roles to line up, and make sure you make the most of automated workflows combined with Expanded Credentialing, our team can set that up for you. Just reach out to your CSM.

  3. If you want to edit one employee at a time, you can do that (see below). But if you want to update all your employees en masse, we highly recommend reaching out to your CSM.

FAQ

Q: Why do the system's roles need to spelled that way, and not customize on a case-by-case?

A: We access dozens of state-level certification and licensure systems, and need to make sure we're complying with their nomenclature. Our hands are tied.

Q: How often will I have to deal with this issue?

A: Only once! This is an one-time issue created by our Expanded Credentialing rollout and whichever way you decide to handle it will last.
