Starting the evacuation report

Archie provides an Evacuation Reports feature that allows you to generate a real-time report of people on-site at a given time. This feature is useful for fire drills or emergency evacuations. To use it, you must install the Visitors app on a tablet.

Note: All users must use the check-in feature to access the building, ensuring an accurate list for evacuation purposes.

Step 1: Enabling Evacuation Reports

  • Access your workspace via the web platform

  • Go to Settings > Apps > Visitors.

  • Enable "Evacuation Reports".

  • Under "Start Evacuation Instructions", add the instructions you want users to follow.

  • Set the emergency phone number.

  • (Optional) Add a message that will be displayed once the evacuation process ends.

  • Upload images such as floor maps, evacuation routes, or fire exit diagrams.

  • Click Save.

Step 2: Initiating an Evacuation

From the Visitors App:

  • Open the Visitors app and click the Evacuation button located at the bottom right part of the screen

  • Enter the admin passcode.

  • Add an optional message and assign the responsible person (default: admin connected to the iPad).

  • Choose whether to send notifications via email and push (disable this if testing).

  • Click "Start Evacuation".

  • You will now see the list of people currently in the building.

  • Track the accounts in real time by marking them as safe as you start confirming the list

  • Clicking Close will give you 2 options:

    • Click "Leave report" to end your participation, other admins will be able to continue working on the report

    • Click "Close the report for all" to end the evacuation report for all participants. If you select this option, the report will be locked and you won't be able to re-open it

  • You will be taken back to the main page

From the Web Platform:

  • Go to Visitors > Evacuation Reports.

  • Click "Start Evacuation".

  • Add an optional message, and choose whether to send notifications via email and push (disable this if testing).

  • Once ready, click Start

  • You will now see the list of people currently in the building.

  • Track the accounts in real time by marking them as safe as you start confirming the list

  • Click the X button to go back to the Evacuations report section

  • Click the 3 dots button next to the ongoing evacuation, and click "End evacuation" to finalize the process

  • Add a custom message if desired, and confirm if you want to notify users that the evacuation ended.

Additional information

  • All users will be automatically checked out when the evacuation ends.

  • Users can also mark themselves as safe by:

    • Clicking the push notification received on their phones

    • Clicking the link received in the email after the process was initiated
