Creating and customizing your plans, products, and passes to meet your business needs

This article provides a step-by-step guide to creating plans, services, products, and day passes within your inventory. You’ll learn how to set up a plan with pricing, commitment terms, and included elements, as well as how to create additional services, products, and day passes. Step 1. Creating a plan

  • Open the settings menu.

  • Once in settings, click Inventory and then click Plans & products

  • On the right side, locate the Plans section and click the "Add a Plan" button.

  • Enter the details of your plan

Archie tip: The most common setting for the "Assign a group" field is to set it as "Member", with this, anyone that buys a plan automatically becomes a member of your site. Moreover, make sure to set the visibility of your plan, if no value is added, only admins will be able to see it.

  • Set the price of your the plan

Archie tip: You can Add different prices based on commitment length to motivate your customers to book for longer periods

  • Set the plan beneficiaries

  • Set the commitment terms

Archie tip: If the option to "don't let users pick a term" is enabled, the plan will be billed until cancelled by the user, this applies to all categories (weekly, monthly, yearly).

  • Select the elements that will be included in this plan

  • To add credits to this plan:

    • Click the "Add credits" button

    • Select an element from the dropdown list that is not included in the plan.

    • Select if you want to give the client unlimited credits or a specific number.

    • Enter the amount of credits and set the recurrence.

    • Click "Confirm" to be taken back to the Customization step.

Archie tip: Credits are set to add an extra benefit to the plan, for example: if your plan is for a monthly booking of a private office, and you want to include 3 hours of conference room as a benefit, you can calculate the credits to be given by multiplying your hourly rate for the conference room by 3

  • Continue setting the rest of the information

  • Click "Save & Close"

Step 2. Creating a Service

  • Go to the Plans & products section described in the steps above and locate the Services section.

  • Click the "Add a Service" button.

  • Enter the details of your service

Archie tip: Many of our clients utilize this section to create additional services that can be acquired alongside a booking. These services may include locker rentals, parking, screen rentals, and more. Moreover, make sure to set the visibility of your service, if no value is added, only admins will be able to see it.

  • Scroll down to the Price section.

  • Click the recurrence that you would like to modify for this service (weekly, monthly, yearly)

  • Set the price for your service.

  • Repeat the same steps to customize the other tabs if needed.

  • Set the plan beneficiaries

  • Set the commitment terms

  • Click "Save & Close"

Step 3. Creating a product

  • Go to the Plans & products section described in the steps above and locate the Products section.

  • Click the "Add a Product" button.

  • Enter the details of your product

Archie tip: Make sure to set the visibility of your product, if no value is added, only admins will be able to see it.

  • Set the price for your product.

Archie tip: You can Add bulk discount to motivate your customers to buy more units of your product.

  • Click "Save & Close"

Step 4. Creating a day pass

  • Go to the Plans & products section described in the steps above and locate the Day passes section.

  • Click the "Add a Day pass" button.

  • Enter the details of your product

Archie tip: Use the "Assign a group" field to set as a member anyone who buys this day pass, making them members only on the day the pass is used. Moreover, make sure to set the visibility of your plan, if no value is added, only admins will be able to see it.

  • Set the price for your Day pass.

Archie tip: You can Add bulk discount to motivate your customers to buy more day passes.

  • Set the expiration date

  • Set the element that will be included in the day pass

  • To add credits to this Day pass:

    • Click the "Add credits" button

    • Select an element from the dropdown list that is not included in the plan.

    • Select if you want to give the client unlimited credits or a specific number.

    • Enter the amount of credits

    • Click "Confirm" to be taken back to the Customization step.

Archie tip: Credits are set to add an extra benefit to the day pass, for example: if your day pass is for hot desks, but you want to include 2 hours of conference room as benefit, you can calculate the credits to be given by multiplying your hourly rate for the conference room by 2.

  • Set the number of hours per day that will be granted with this day pass

  • Click "Publish & Finish"

Archie tip: Day passes operate on a distinct system compared to plans, products, and services. Upon purchasing a day pass, the customer needs to check in to use it. The option to check in will be visible when going to the booking management section.
