Everything You Need To Know About Payments & The Fulfillment Payments Process For Artists

If you are an artist or photographer who utilizes one of our fulfillment vendors for automated print fulfillment, you will be subject to our fulfillment payments process. This article will provide a comprehensive overview of the process and outline the steps you can take to customize it to your specific needs.

During the setup of your site, you connected it with a payment gateway. This can be either Stripe or Authorize for card payments or PayPal for PayPal payments. If you have not yet completed this step, please refer to our article for detailed instructions: How To: Set Up and Use Payment Gateways

The payment gateway acts as an online bank that receives funds from sales made on your website. It will receive the full amount of the sale (retail price) and then deduct a percentage of the sale as a transaction fee. This fee is determined by your payment gateway and cannot be influenced by Art Storefronts.

All three vendors (Stripe, Authorize, and PayPal) charge a fee for regular purchases within the United States, which is 2.9% + 30 cents. This fee applies to all sales, regardless of product fulfillment.

When a Print or a Merch product that is fulfilled by one of our Fulfillment Vendors has been sold through your website, you will be responsible for covering the expenses of the vendor's services, printing, assembly, and shipping. These expenses are referred to as fulfillment costs and are charged immediately after a purchase has been made through the automatic fulfillment process. The charge will be applied to the credit card you have active on your website.

If you prefer to delay the fulfillment cost charge, your website offers a feature for this. Please refer to our article How To: Delay your Fulfillment Vendor Order Charge. The charge will be issued on the Credit Card you have active on your website, the same one you use for your website payments.

Also, Art Storefronts will charge you ASF Transaction Fees based on your license plan. This article provides detailed information on how the ASF transaction fee system works and includes examples of how fees are calculated for different license plans.

Please note that if you are using Stripe as your payment gateway, the first transaction you process will require a background check, which can take up to 14 days for the funds to clear. However, this only applies to your first transaction. For all subsequent transactions, funds will be cleared within a period of 2-5 days.

Delay Vendor Charge Feature

Your website comes with a feature that will let you delay the charges from your Fulfillment Vendor. When you receive an order that needs fulfillment, activating this feature will hold off the creation of a vendor order for at least the specified period. After the period expires, the order will join the queue of orders being processed. This feature allows you to receive payment for the sale you made before you need to pay for the fulfillment costs of the order. Shipping Charges for Auto-Fulfillment Orders

When a vendor fulfills an order on your behalf, they will charge you for the shipping fee associated with that order. The shipping fee covers shipping from the vendor's facility to the address specified in the order.

If you choose to offer Free Shipping, please not that your vendor will still charge you with shipping cost. The only shipping fee that will be 'free' is the shipping amount that your customer pays when checking out. This means that you need to factor in the vendor's shipping fees when offering free shipping promo to your customers.

Sales Tax Charges and Tax Exemption Forms

There are two types of tax charges that you need to consider as a seller on Art Storefronts. The first type is Sales Taxes, which you are required to collect as a seller who made a profit. Your website will automatically calculate and charge the correct tax rate for you, but you have the option to customize your own tax methods based on location and charge methods. The second type of tax charge is from Art Storefronts, which charges you as an artist for your Auto-Fulfillment sales. Due to the changes in the eCommerce sales tax environment following the South Dakota v. Wayfair Inc. case, Art Storefronts will begin collecting and remitting sales tax to customers who do not provide resale certificates as of February 1st, 2021. How to review your payments

You can review any payment you made to either Art Storefronts, or your Fulfillment Vendor at any time. This can be checked on the Billing Section of your Site Manager.

All you need to do is click on the Billing Tab of the Jump To menu:

This will take you to the Billing Section of the Site Manager, from where you can select Payments tab.

Here, you'll be able to review any payment you made through the website. Also, if you have any failed payments, this is where you can manually retry the payment.
