How to Migrate from Legacy Driver Pay Management

Learn how to migrate from Legacy Driver Pay Management to the current module in AscendTMS. Follow our step-by-step guide to transfer your payroll history, scheduled pay items, and deductions while taking advantage of enhanced payroll tools!

💰 Ready to Upgrade Your Driver Pay Management?

If you're still using Legacy Driver Pay Management in AscendTMS, we've got some good news! 🎉

Our current Driver Pay Management module offers a more flexible and efficient way to manage driver payroll, with features like bulk approvals, automated workflows, scheduled payments and deductions, and improved payroll management tools.

And the best part? Making the switch is easier than you might think!

In this guide, we'll walk you through the migration process step by step, including what happens to your existing payroll records, how to migrate scheduled pay items and deductions, and what to expect when you're ready to make the switch.

🔎 Am I Still Using Legacy Driver Pay Management?

Not sure which version you're currently using?

Navigate to Accounting → Driver Pay Mgt and take a look at your screen.

If it resembles the screenshot below, you're still using Legacy Driver Pay Management.

If you're already using the current Driver Pay Management module, there's nothing you need to migrate!

Why Make the Switch?

The current Driver Pay Management module gives you more control over your payroll workflow, with several improvements over the legacy version:

  • ✅ Bulk Approvals: Approve multiple Driver Pay Items across loads and drivers.

  • 💰 Bulk Payroll Processing: Mark multiple pay items and deductions as Paid at once.

  • 📅 Payroll Period Management: Create, manage, open, and close payroll periods.

  • 📧 Bulk Settlement Sheets: Generate and email settlement sheets to multiple drivers.

  • ➕ Additional Pay & Deduction Options: Add one-time pay items and deductions directly from Driver Pay Management.

  • 🔐 More User Permissions: Control who can approve pay items, process payroll, manage payroll periods, and more.

  • ⚙️ Automated Approvals: Use the Automated Workflow Engine (AWE) to approve Driver Pay Items based on your preferred workflow.

What Happens to My Existing Driver Pay Records?

Don't worry, we're not leaving your payroll history behind!

When you migrate to the current Driver Pay Management module, AscendTMS automatically carries over your previously Paid Driver Pay Items and applied deductions, organizing them into the appropriate payroll periods based on the dates they were marked Paid.

Your existing Load Pay Items are also migrated automatically.

You'll have the opportunity to review your Scheduled Pay Items and Scheduled Deductions during migration and decide which ones you'd like to continue using.

This means you can preserve your payroll history while bringing your active pay and deduction schedules into the current Driver Pay Management module.

⚠️ A Few Important Things to Know Before Migrating

Legacy Driver Pay Management isn't going away. You can continue using the legacy module until you're comfortable making the switch.

However, once you click Finalize migration and start using Driver Pay 2.0, the migration is complete, and you'll no longer have access to the Legacy Driver Pay Management workflow.

The good news? You don't have to finish everything in one sitting! You can leave the migration process before finalizing and return later to pick up where you left off.

And remember, if you'd like a hand with the process, the AscendTMS Gurus are here to help! 😎

⚙️ Step 1: Accessing the Migration Tool

There are two ways to access the migration tool in AscendTMS.

Option 1: From Legacy Driver Pay Management

If you're currently using Legacy Driver Pay Management, you may have noticed a migration message displayed on your Driver Pay Management screen.

Simply follow the instructions in that message to access the migration tool.

Option 2: From Settings

You can also access the migration tool directly by navigating to:

Settings → Edit Driver Pay Settings

Either option will take you to the Driver Pay Management migration process, where you'll begin by configuring your company's payroll schedule.

📅 Step 2: Configure Your Payroll Periods

Before migrating your existing pay items and deductions, you'll need to establish your company's payroll schedule.

Start by selecting:

  1. Payroll Frequency: How often you pay your drivers, such as weekly.

  2. Payroll Start Day: The day your payroll period begins, such as Monday.

For example, if your company pays drivers weekly and each payroll period begins on Monday, select Weekly as your frequency and Monday as your start day.

Preview Your Payroll Periods

Once you've made your selections, AscendTMS will display a preview of your upcoming payroll periods.

Take a moment to review the dates and make sure they align with your company's actual payroll schedule.

If something doesn't look right, simply adjust your selections before proceeding.

💡 Quick Tip: Getting your payroll schedule right is especially important during migration because your historical Paid Driver Pay Items and applied deductions will be organized into payroll periods based on their payment dates.

Once everything looks good, you're ready to move on to reviewing your existing Driver Pay Items and deductions!

🔄 Step 3: Review & Migrate Your Existing Pay Items and Deductions

With your payroll periods configured, it's time to review your existing Driver Pay Items and deductions.

Good news! AscendTMS has already taken care of migrating your Load Pay Items, so there's no need to recreate those manually.

On the migration screen, you'll see a list of your drivers, along with a Migration Status column indicating which items have already been migrated and which still need your attention.

Review Your Driver Pay Items and Deductions

Click the + icon next to a driver's name to expand their details.

Here, you can review their existing:

  • Load Pay Items: Already migrated automatically.

  • Scheduled Pay Items: May require your review and migration.

  • Scheduled Deductions: May require your review and migration.

For any scheduled item that hasn't been migrated, you'll have two options:

  • Migrate: Bring the existing scheduled pay item or deduction into the current Driver Pay Management module.

  • Do Not Migrate: Leave behind an item you no longer use or don't want carried into the current module.

Migrating a Scheduled Pay Item or Deduction

If you'd like to keep an existing scheduled pay item or deduction, select Migrate next to that item.

A form will appear on the right side of your screen, with most of the existing information already filled in for you.

Simply review the details, make any necessary adjustments, and click the appropriate Save button at the bottom of the form.

For example, when migrating a scheduled deduction, click Save Deduction.

Once saved, the Item Migration Status column will display Migrated Successfully, confirming that the item has been migrated.

Need to make a change? You can still view or edit the migrated item if necessary.

What If I Don't Want to Migrate an Item?

No problem!

If you come across an outdated scheduled pay item or deduction that you no longer use, simply select Do Not Migrate.

This tells AscendTMS you've reviewed the item and intentionally chosen not to carry it over.

Keep in mind: Choosing Do Not Migrate still counts as completing that item's migration task.

Finish Reviewing Your Items

Continue reviewing your drivers' scheduled pay items and deductions until each outstanding item has been addressed.

Whether you've selected Migrate or Do Not Migrate, the goal is to have no outstanding migration tasks remaining.

And that's it! Your existing Driver Pay Items have been accounted for, your scheduled items have been reviewed, and you're one step away from completing the migration.

🎉 Step 4: Finalize Your Migration

You've configured your payroll periods, reviewed your existing pay items and deductions, and completed your migration tasks.

You're officially ready to make the switch! 😎

Once all migration tasks have been completed, click the Finalize migration and start using Driver Pay 2.0 button.

⚠️ Important: Before You Click!

Finalizing your migration completes the transition to the current Driver Pay Management module. Once finalized, you will no longer be able to access Legacy Driver Pay Management.

Not quite ready? No problem! You can exit the migration process before finalizing and return later to pick up where you left off.

Give AscendTMS a Moment to Work Its Magic!

After clicking the Finalize button, AscendTMS will begin completing your migration.

This process may take a couple of minutes, so sit tight while everything gets moved over.

Once completed, you'll see a confirmation screen with two options for getting started.

What's Next?

Now that your migration is complete, you can choose how you'd like to proceed.

Option 1: Configure Your User Permissions

Select Click here to set up user permissions for Driver Pay 2.0.

We highly recommend reviewing your Driver Pay permissions so you can control who has access to approving pay items, processing payroll, and managing payroll periods.
