How to Post Loads and Use Convoy Platform in AscendTMS — 100% Digital Freight Management

Posting loads to Convoy Platform inside AscendTMS is quick, simple, and follows the same familiar workflow used for posting to other load boards. If you’ve posted loads from Ascend before, you’ll feel right at home. And if you’re new to AscendTMS, don’t worry — the process is straightforward and only takes a few clicks. In this guide, we’ll walk you step-by-step through how to post your loads to Convoy Platform so you can start covering freight with fully vetted carriers in minutes.


How to Post Loads to Convoy Platform

There are two convenient ways to post a load to Convoy Platform:

Option 1 — From the Shortcuts Menu (Load Management)


Navigate to Load Management, locate your load, then use the Shortcuts menu to select the option to post the load to Convoy Platform.

Option 2 — From the Load Actions Bar (Inside the Load)

Open the load and use the Load Actions bar at the top of the screen to select Post to Convoy Platform.

For Convoy Platform to work it's magic, you'll just need to make sure to check a few boxes before posting.

Before posting, just be sure to include:

  • Equipment Type

  • Load Posting Notes

  • Temperature Settings (for reefer loads, including Upper and Lower Thresholds)

  • Customer Assigned

  • Pickup Date

  • Pickup Location (with ZIP code)

  • Delivery Date

  • Delivery Location (with ZIP code)

  • Income (used to calculate the Max Acceptable Buy Rate)

Once you’ve got the required info on the load and selected Post Load using one of the options above, you’ll be taken to the Load Posting screen.

NOTE: The Posted Rate field does not apply when posting loads to Convoy Platform. This rate is used for all other load boards.

Below, we’ll explain how rates are sent to Convoy and how they are used during the booking process.

If your load meets the requirements listed above, you’ll see a green check mark with a dollar sign, indicating the load is ready to be posted to Convoy Platform.

If your load has not met the requirements listed above, you’ll see a red triangle with the text “Fix Load” displayed beneath it.

To see what may be missing, simply hover your cursor over the red triangle, and AscendTMS will display the fields that need to be completed before the load can be posted.

Once all required fields are completed and the green check mark is displayed, you’re ready to proceed with posting the load to Convoy Platform.

Click the dollar sign icon to set your Max Acceptable Buy Rate and, if desired, your Auto Accept Rate.

You’ll now be taken to the screen below, where you can review and adjust your Max Acceptable Buy Rate, Auto Accept Rate, and any Trailer or Additional Requirements you’d like to include with your Convoy posting.

Max Acceptable Buy Rate

This is the maximum rate you’re willing to pay a carrier to move the load. This rate is automatically calculated based on your Default Target Gross Margins. (See Step 3 in the Configure Your Default Gross Margin Goals section of the Convoy Platform Integration Help Guide for details on setting these.)

The Max Acceptable Buy Rate already includes the Convoy Platform booking fee, so you can be confident that Convoy will never exceed the Max Acceptable Buy Rate you’ve set.

Auto Accept Rate

This is the “Book It Now” rate a carrier can accept to instantly secure the load without additional negotiation.

Both rates can be adjusted at any time by clicking Edit Posted Rates.

Make sure to Save your changes. Additionally, you can revert your changes back to your default setting by clicking on the arrow circle.

Trailer & Additional Requirements (Optional)

You can also add or edit Trailer Requirements and Additional Requirements for carriers hauling this load on Convoy Platform. This allows you to communicate any specific equipment needs or load instructions directly to carriers on Convoy Platform before they book the shipment.

All set? Click Return to Load Post to continue with posting your load to Convoy Platform.

When you’re ready, click Post Load in the bottom-right corner of the Load Posting screen to publish your load to Convoy.

Success! Your load has now been posted to Convoy Platform — now the fun begins.

Just like with loads posted to the other load boards AscendTMS integrates with, you can view your posting in the Externally Posted Loads tab. From there, you can also monitor the progress of your posting as it moves through the Convoy booking process in the next step below.


Monitor Key Details Related to Your Posting

From Load Management > Externally Posted Loads, locate your posted load, right-click on the load, and select Dispatch and Tracking.

Once there, click the Convoy tab.

Inside the Convoy tab, you’ll see key details related to the load. As Convoy updates the booking status, the progress will be reflected visually using the color-coded status key on the right.

Once the load is fully booked, Convoy automatically sends the carrier details, which will populate both here and on the load’s Carrier Info page.

Carrier Assignment and Related Documents

As soon as a carrier is assigned, AscendTMS automatically pulls all related load documents into the Load Documents list. These documents include the signed broker–carrier agreement, signed rate confirmation, and the signed POD once the load has been delivered.


Automation, Load & Location Tracking / Updates

When it comes to tracking shipments, the process will feel very familiar.

Loads booked through Convoy Platform can be monitored the same way you track any other load in AscendTMS. Simply open the Load Log with Map to track the shipment’s real-time location and view important status updates such as arrivals, departures, and other key milestones throughout the life of the load.


Carrier Payables — Accounting Management

Once the load is completed and all financial line items have been added, send the load to Accounting as you normally would. After Convoy pays the carrier, the bill will automatically be marked as Paid, with the Remit To payment issued to Convoy.

To view additional payment details, simply hover over the green “Paid” status, where you’ll see the payment date and amount.

Once the carrier has been paid, Convoy will batch debit the funds from your bank account in accordance with the terms of your agreement with Convoy.

Troubleshooting & Common Questions

Why do I see “Fix Load” when trying to post to Convoy?

Some required load details are missing. Hover your cursor over the red triangle and AscendTMS will display the fields that need to be completed before the load can be posted.


Why can’t I post my reefer load to Convoy?

For reefer loads, Convoy requires a Temperature setting along with both Upper and Lower Temperature Thresholds. If these fields are missing, the load will display “Fix Load” and cannot be posted until the temperature details are completed.

You can add these values directly within the Temperature section of the load before posting.


Why doesn’t the Posted Rate apply to Convoy Platform?

Convoy uses a different rate structure than traditional load boards. Instead of a public Posted Rate, Convoy uses your Max Acceptable Buy Rate and optional Auto Accept Rate to manage carrier offers and bookings.


Where can I see carrier bids or offers on my load?

AscendTMS will display the key booking milestones inside the Convoy tab, but if you’d like to view detailed bidding activity, offers, and carrier interactions, you can log into your Convoy account to see the full activity for that load.


Why hasn’t a carrier been assigned yet?

Convoy is continuously working behind the scenes to match your load with qualified carriers. If a carrier has not yet been assigned, the load may still be receiving carrier offers or bids through the Convoy network.


Where do the load documents come from once the load is booked?

Once a carrier is assigned, Convoy automatically sends the related documents to AscendTMS, including the broker–carrier agreement, signed rate confirmation, and POD once the load is delivered. These will appear in the Load Documents list for that load.

Set realistic Max Acceptable Buy Rates

Your Max Acceptable Buy Rate determines the highest rate Convoy can book a carrier for. Setting a competitive rate can help loads get covered faster while still protecting your target margin.


Use Auto Accept for faster coverage

Setting an Auto Accept Rate allows carriers to instantly book your load without additional negotiation. This can significantly reduce the time it takes to cover common or repeat lanes.


Include clear Load Posting Notes

Helpful load notes can improve carrier confidence and reduce questions. Information like appointment details, special handling instructions, or facility requirements can make your load more attractive to carriers.


Leverage Ascend automation

Monitor booking progress from the Convoy tab
