Tasks

Tasks allows you to create and manage to-do lists and data collection for reporting cycles and portfolio maintenance.

  • Create, edit, and manage data collection or other tasks

  • Add a single task or a task series

  • Enter data for an assigned task

  • Review and approve collected data

To access Tasks, go to Apps in the side menu at left, then Tasks.

Overview

Create action-oriented task lists related to upcoming reporting deadlines or ongoing data maintenance. Streamline data collection for reporting by enabling direct data submission from stakeholders, create reminders for efficient task management, and monitor task completion all in one place.

The homepage displays all tasks in an organization:

  • Progress bar: Displays progress (%) of completed tasks against all tasks in the filtered view

  • Search: by task name, assignee or approver

  • Filter: by status, task type, assignee, or approver

  • Set period: Filter by task Due Date

  • Add task: Create a new data collection or other type task. Select the dropdown to add a task series.

  • Edit task: Click to edit an existing task

  • Duplicate task: Click to duplicate an existing task, and update fields for quicker task creation

  • Delete task: Permanently delete a task record

Status

  • Pending:

    • Task has been created, and will be sent once the Issue date occurs

  • Sent:

    • Task has been sent to the assignee via email on the Issue date, and is waiting to be completed

    • If you are the Assignee for a Sent task, you can access the task by clicking on the row or following the link sent via email.

  • Ready for review

    • Data collection task has been completed by the assignee and is waiting to be reviewed.

    • If you are the Approver for a Ready for review task, you can access the task by clicking on the row

  • Completed

    • Other type task has been Completed by the Assignee

    • Data collection task has been reviewed and accepted by the Approver

Add a task

Create a single task to collect data or set a reminder. Enter the Task name, select a Task type, and set the Issue date and Due date.

  • Task name: Will be seen by the assignee and will appear in the table

  • Task type: Data collection or Other

  • Issue date: The date the task will be sent to the assignee

  • Due date: The date the task should be completed by (reference only)

Other

Other tasks are intended to capture to-do list items that will help you better manage your projects. Use the app to send email reminders to manage tasks for things like quality assurance, emission factor configuration, dashboard creation, and more.

Data collection

Data collection tasks facilitate the collection of manual data for hard to automate data sources, such as Scope 3 data, utility data in leased spaces, and general data gaps. Task creators can select the data points and time period they wish to collect data for, set the assignee and due date, and Atrius will send out an email with a link to collect the data.

  • Resolution:

    • Whole period: Each point requires a single value representative of the usage between the selected Start and End dates.

    • Monthly: Each point requires a monthly usage value for every month within the selected Start and End dates.

  • Start: The start of the data collection period

  • End: The end of the data collection period

Data collection tasks support the collection of resource, activity use and cost data for points and bill points in the same form.

  • Enter numeric values for Consumption and Cost (where applicable)

  • Where no data is available select from pre-set options:

    • No data (not available)

    • No data (not tracked any longer)

    • No data (no longer my purview)

  • Add a note to communicate any known anomalies or other relevant information

Monthly resolution

A row will be provided for each month in the requested period. Adjust Start and End dates according to your data where needed. Dates cannot overlap.

Ready for review

Once data has been submitted, the Approver will be required to accept or reject the incoming data before it is processed.

The following actions can be taken:

  • Accept: Data will be processed for upload

  • Reject: Rows will be returned to the assignee in a follow-up task

  • Delete: Data row is no longer needed, data will neither be processed or returned to assignee

  • Add a note: Enter a note that will be included in the follow-up task for Rejected rows

  • Undo: Undo Accept or Reject

Once all rows have been actioned the approver must select Save to complete the process.

Add a task series

Create a task that will be sent on a recurring basis. Creating a task series is similar to creating a single task, but includes additional fields required to generate any subsequent tasks.

  • Task series title: Each task that is part of this series will be named according to the title and the dates of the task occurrence

  • Task type:

    • Data collection:

      • Period start date: The start of the data collection period

      • Data collection period: Enter a number and increment (months or years) to calculate the period end date. This will also be used as the cadence for repetition.

    • Other:

      • Repeat every: Enter a number and increment (months or years) to indicate the circulation of subsequent tasks.

  • Issue date: The date the first task will be sent to the assignee

  • Due date: The date the first task should be completed by (reference only)

  • End recurrence on (optional): The date the series will end, and tasks will cease to be generated

Recurrence

  • First task: When creating your task series, once you have entered in data for the above fields a First task summary will be generated.

  • Subsequent tasks: The Data collection period or Repeat every fields indicate when recurring tasks are issued, due, and their data start / end dates (if applicable). Subsequent tasks will be created and displayed in the table when the Issue date of the preceding task has occurred, but will not be issued until it's own Issue date is reached.

First task (01/01/2024 - 06/30/2024) issued on 5/31/2025 and due 06/30/2025

Second task (07/01/2024 - 12/31/2024) issued on 12/31/2025 and due 01/01/2026

Other task

Issue date: 05/31/2025

Due date: 06/30/2025

Repeat every: 1 year

First task (05/31/2025 - 06/30/2025) issued on 5/31/2025 and due 06/30/2025

Second task (05/31/2026 - 06/30/2026) issued on 05/31/2026 and due 06/30/2026

Task occurrences

Task occurrences are tasks that are part of a series. They are similar to a single task in that they represent a single data collection request or reminder, however they have some different properties. When selecting a task occurrence in the table, the following options are available:

  • Resend occurrence: Trigger the selected task to be re-sent to the Assignee

  • Edit occurrence: Edit a single task occurrence. Once an occurrence is edited, any edits to the parent series will no longer apply to the edited occurrence.

  • Edit series: Edit the task series as a whole.

    • Edits to Task series title and End recurrence on date will always be applied to existing and future tasks.

    • Edits to Resolution, Points and Assignee can be applied to only future tasks or can choose to overwrite existing Sent, Pending and Ready for Review tasks

    • No edits to Issue date, Due date, and Data periods can be made to a task series

  • Duplicate occurrence: Use a single occurrence as a template for a new single task (this will not be part of a series)

  • Duplicate series: Use a task series as a template for a new task series

  • Delete occurrence: Delete a single task occurrence. This will not impact the series.

  • Delete series: Delete a task series, and all associated future tasks.
