Managing License Requests

Manage incoming license and team license requests as an administrator in AuditXchange.

AuditSoft licensing is an optional service that may be enabled when the Certification Body/Certifying Partner chose to approve all audit license request before an audit can be started. This is mostly used when the Certification Body/Certifying Partner subsidizes licensing and/or to confirm the following BEFORE the audit is initiated:

  1. The audited member is in good standing and

  2. The auditor is in good standing.

Request a license

To initiate a license request, the AuditSoft user (auditor) follows the standard process to Get a license. Instead of purchasing a license there will be an option to Submit Request for an AuditSoft license (see 1 in screenshot below):

In AuditSoft the license will now show up as License Pending Approval (see 2 in screenshot below) and;

Important: The user (auditor) will not be able to start an audit before the audit request is approved.

Once a license request has been submitted to a Certification Body/Certifying Partner, the administrator will be notified by email that a license request has been submitted

For each license request (see 3), there are four options:

  • Edit (see 4) - This option allows you to correct any misspelled legal company names or link licenses into teams for more info see Editing Pending Licenses .

    • If a license request has a similar name to that or another license it will be flagged with a warning icon (also see TEAM license see below) .

  • Approve (see 5) - This approves the license for use and sends a notification email to the requestor. An approval cannot be undone by the administrator.

  • Reject (see 6) - This rejects the license request and allows the administrator to sent a custom notification email to the requestor. An rejection cannot be undone by the administrator.

  • Auto Approve (see 7) - Approves the request and ads the requestor to the Auto Approve List.

Team Licenses

For team audits 2 or more users (auditors) will work together to complete a single audit. For team audits it is crucial that all users have licenses with the EXACT same company name.

Note: Not all audits with the same name are team audits. There are for example multiple companies with the same name that could be audited separately like major chain stores: Walmart, Home Depot, etc.

  1. To ensure that team licenses have the exact same name click Edit

  2. In Confirm license details view you can:

    1. Edit the license name (see A) or

    2. You can click on a license with a similar name (see B) to copy the name

  3. If you click on an existing license:

    1. the license name will be updated to match the selected name and

    2. if it is a team audit check the box to join the team (see C) of the existing auditor.

    3. Confirm.

The implication of joining an audit team:

  1. The first approved license is assigned to the Lead Auditor

  2. Only the Lead Auditor can electronically submit the final audit
