Award Cycle Dates/Application Deadlines

What time is the scholarship deadline?

Scholarship deadlines occur at midnight on the Application End Date. Students can access their applications until 11:59:59 PM in your configured time zone.

How do I change the application dates for a scholarship?

You can change the application dates for a scholarship by going to the Scholarships tab, selecting a scholarship, going to the Details tab, and clicking Edit Scholarship Dates in the 'Title, Description, and Award Cycle' section. The dates will autosave once updated.

I adjusted my application period in the Award Cycles tab, but the new dates are not reflected in the Scholarships tab.

The scholarships most likely did not update because the date changes were not applied globally. To globally change scholarship application dates, you must click 'Save Changes' and then click 'Update Dates for All Scholarships' on the Settings > Award Cycle page.

Awarding & Denying

Can I award applicants after the award cycle is over?

Yes, applicants can be awarded, and post-award requirements can be completed after an award cycle ends.

How can I un-award (or un-deny) an applicant?

Award decisions can be updated from the Scholarships tab > Award & Deny tab or the Users tab > Scholarships subtab. To un-award or un-deny an applicant, simply click on the Award or Deny buttons. The Award button will go from orange to neutral, and the Deny button will go from gray to neutral.

CAUTION: changing an applicant's award status after the scholarship has been published will permanently close any post-award items for the applicant.

Configuration & Testing

How can I set up the system so that students can upload thank-you letters or other items that we need to collect after they're selected for an award?

You can achieve this by using post-award requirements. Post-award requirements can be set up by going to the Scholarships tab, selecting a scholarship, going to the Additional Requirements tab, and adding questions to the After Awarding section. Scholarships must be published from the Distribution tab for students to access their post-award requirements.

Tip: Thank you letters can be set up as File Upload or Essay Answer questions. Essay Answer responses can be included in reports, enabling you to access all thank you letters in one place rather than downloading individual uploads.

Can I change the amounts that I see on the Distribution tab?

To change award amounts, click inside the Award Amount box next to each student's name and replace the displayed amount with the desired amount. Please note that the Total Scholarship Value in the Details tab (Award Amounts section) must be set before award amounts can be selected. Click here to learn more about the Distribution tab.

Can I add scholarships after the application period has begun?

Scholarships can be added after the application period has begun. Please note that adding scholarships after the application period has begun does not affect completed general applications as long as existing application questions are used as qualifications. If new questions are created, completed applications will be pushed back to an incomplete state. This will not disqualify applicants from other scholarships they are qualified for.

Applicants

Can I un-apply an applicant from a scholarship?

It is not possible to un-apply an applicant if they have matched on qualifications and completed the Before Applying requirements. Applicants become unapplied from scholarships (and removed from the Award & Deny tab) if the scholarship is open and they no longer match on qualifications; or if Before Applying questions are added.

The application is closed, but I'd like some additional applicants to be considered for scholarships. How can I add these additional applicants?

The manual apply feature enables you to apply students to scholarships at any point during the award cycle. To manually apply a student, go to the Users tab, locate a student account, and go to the Scholarships tab. An 'Apply' button will be shown for all scholarships that the student isn't already applied to. Clicking the 'Apply' button for a scholarship bypasses all scholarship requirements and places the student on the Award & Deny tab (i.e. applies them). Please note that this action is not reversible. Once manually applied, the student will remain applied on the Award & Deny tab.

How can I qualify different types of applicants for the same scholarship?

The Qualification Groups feature enables you to qualify different types of applicants by creating up to 4 sets of qualifications within a scholarship. Applicants must fully match on at least one set of qualifications to qualify for the scholarship. The feature is located in the Qualifications tab and becomes accessible once at least one qualification question is added.

How can I find the "top" applicants for a particular scholarship?

The most qualified applicants for a scholarship can be found by using the filter tool in the Award & Deny tab. This feature enables you to filter applicants using their responses from the application and/or any "Before Applying" additional requirement questions.

To filter in the Award & Deny tab, click on the ‘Filter’ button found above the applicant table and then click ‘Add Filter’. Next, click into the search box and enter the question text or locate the desired question using the dropdown. Once you have selected the question, click into the search box again, select your preferred response(s), and click 'Apply Filter(s)'.

Only students matching the filter criteria will remain visible in the applicant table. These steps can be repeated to create multiple filters. Please remember to remove the filters by clicking 'Clear Filters' if you would like all applicants to be visible again.

How do I view applications for a specific scholarship?

You can view applications for specific scholarships by going to the Scholarships tab, selecting a scholarship, going to the Award & Deny tab, and clicking on an applicant's name. The Award & Deny application view also includes scholarship-specific notes and reviewer scores.

How can I leave a note on a student record?

Notes can be added to any student's application for a specific scholarship. To leave a note, select a scholarship from the Scholarships tab, select the Award & Deny tab and click on the Notes icon next to the student's name. These notes are for internal use only and are not displayed to non-administrator users.

Tip: Notes created in the Award & Deny tab can be added to custom reports.
