Award & Deny Notes and Student Flags

This article covers the Notes tab and student flags on the Award & Deny screen.

When you're deciding on awards, keep notes and short flags, like Nearly qualified, in one place: the Notes tab in the applicant panel on the Award & Deny tab.

Open the Notes tab

  1. Go to the Scholarships tab, open a scholarship, and go to the Award & Deny tab.

  2. Click a student's row to open the applicant panel.

  3. Select the Notes tab. The tabs run in this order: Application, Review, Notes, SpringIQ.

Note: Notes used to open from a pencil icon in the panel header. The Notes tab replaces that pop-up, and your existing notes are all still there.

Two kinds of notes

  • Scholarship Notes are about this student for this scholarship only.

  • Global Profile Notes are about the student overall. They are visible across all cycles and scholarships, so only put things here that should follow the student everywhere.

Notes save automatically when you stop typing, and a brief Saved confirmation appears. If a save fails, a short error appears under the note. Edit the note to try again.

The Scholarship Notes area shows who last edited the note and when.

Flag a student

Flags are short labels that help you remember a student, for example, someone who didn't get an award this time but should be considered next time. Keep the full reason in your notes.

  1. On the Notes tab, find the flags under Scholarship Notes.

  2. Click Add flag and choose a flag from your school's list.

  3. To remove a flag, click the X. A 'Flag removed' message with 'Undo' shows for 6 seconds.

The add-flag menu open under Scholarship Notes, listing the school's default flags that are not yet on this student, with Create a new flag and Manage flags below them.

A student can have any number of flags. Flags stay with the student across scholarships and later award cycles.

Your school's flag list

Flags come from one shared list for your whole school. Every school starts with four default flags, which are locked and cannot be renamed or deleted:

  • Nearly qualified

  • Can be reconsidered

  • Strong essay

  • Needs follow-up

To add your own flag, click Add flag, then Create a new flag. A flag name can be up to 30 characters, and everyone at your school can use the new flag.

The Create a new flag dialog with a Flag name field, a 30-character limit and Cancel and Create flag buttons.

To see every flag and how many students have it, click Manage flags in the Add flag menu. You can rename or delete the flags you add. Renaming a flag changes it for every student who has it. Deleting a flag prompts you to confirm and shows how many students have it.

See notes and flags at a glance

In the Award & Deny list, a notes icon appears next to a student's name when they have notes or flags. No icon means there are no notes or flags.

Who can see and use flags

  • Any admin with access to Award & Deny can add, remove, create, rename, and delete flags. Department admins can only work with students and scholarships they can already access.

  • Reviewers, students, and donors never see flags or any sign of them.

  • Flags don't affect qualification, scoring, or awarding.

  • Every institution has access to Award & Deny flags. Enabled by default.

FAQs

Can I filter or report on flagged students?

Not yet.

If I rename or delete a custom flag, who does it affect?

Everyone. Your school's flag list is shared, so renaming or deleting a custom flag affects every department.
