How do I set up automated appointment reminders in Barti?

Appointment reminders in Barti are added per appointment from the appointment's menu. Choose a reminder template and set the timing, and Barti sends the text automatically at the scheduled time.

Add a reminder to an appointment

  1. Open the appointment from the Calendar or Home Screen.

  2. Click the three-dot menu on the appointment and select More Options.

  3. Click Add a Reminder.

  4. Set the timing — for example, 1, 2, or 3 days before the appointment.

  5. Select a message template from your saved templates.

  6. Save the reminder.

The reminder will send automatically at the scheduled time. No further action is needed.

*NOTE* - 1-day and 3-day reminders are automatically added to an appointment as long as the appointment is made far enough in advance. The above steps are for when you'd like to add additional reminders or when an appointment is rescheduled and you need to add reminders manually.


Create a reminder template

If you don't have a reminder template yet, create one in the Communication Center before adding reminders to appointments.

  1. Navigate to the Communication Center.

  2. Go to Templates.

  3. Click New Template.

  4. Name the template (e.g., "Appointment Reminder — 2 Days Out") and write the message body.

  5. Click Create New Template.

What you'll see when it works

The reminder appears in the Scheduled view in the Communication Center until it sends. Once sent, it moves to the patient's message history in their profile.


Troubleshooting

Do I need to add a reminder to every appointment manually?

No, 1-day and 3-day reminders are automatically added to an appointment as long as the appointment is made far enough in advance.

The reminder sent but the patient says the appointment time was wrong.

Check the location name in Organization Settings → Locations. The location name used there appears in reminder messages — if it includes a time or other outdated detail, update it. See How do I set up my profile and organization settings in Barti?.

Can I set up multiple reminders for one appointment?

You can add additional reminders as you see fit outside of the standard 1-day and 3-day auto reminders.
