Getting Started with BrainCheck

When you first set up BrainCheck, follow these steps to add your team, create custom orders, and confirm your documentation configuration.

Overview

Completing your initial BrainCheck setup ensures your team can start testing smoothly, results are documented correctly, and workflows match your practice’s needs. This guide walks you through the three most important first steps.

1. Add Your Users

Make sure all team members who will use BrainCheck are added to your account.

Steps:

  1. Log in as an Account Admin.

  2. Click your initials in the top right corner of the Dashboard.

  3. Select Manage Users.

  4. Click + New User and enter the name and email.

  5. Assign a role — you can view role types by clicking “More information about roles.”

  6. Click Send Invite — the new user will receive an email to set up their account.

⚠️ Important: At least one provider must be added and accept their invite before you can begin using BrainCheck fully. Without a provider in your account, orders and documentation may be interrupted.

2. Create Custom Orders

Custom orders allow you to run multiple BrainCheck tests or screeners in one continuous session without logging out and back in.

Steps:

  1. Click your initials in the top right corner.

  2. Select Custom Orders.

  3. Click New Custom Order.

  4. Select the combination of Screeners and BrainCheck tests you want included.

  5. Title the order with something recognizable (e.g., “Memory & Attention Battery”).

  6. Arrange the order of tests on the right-hand side.

  7. Click Save.

3. Confirm Documentation Configuration

Proper documentation ensures results are saved and shared correctly for billing, reporting, and compliance.

Steps:

  1. Click your initials in the top right corner.

  2. Select your practice name.

  3. Click the Documentation Configuration button.

  4. Review the settings and adjust as needed for your practice.

Why this matters: Documentation configuration ensures your BrainCheck reports include the correct time requirements for CPT codes, which are essential for billing. Since codes 96136, 96138, and 96132 are time-based, this step makes sure insurers have the supporting documentation they require for claim approval.
