Beneplan will review requests to receive an import or upload of data from an HRIS or payroll system if the following criteria are met:
The plan sponsor must have a minimum of 200 active certificates.
The data must come through a secure method such as SFTP.
The file must map to fields to Beneplan's field specifications.
Certificate numbers must be sent with the file in the following format: XXX-XXX-XXX. Therefore, once a plan member is enrolled, the plan administrator must input the benefits certificate into the HRIS.
Enrolments for ongoing groups cannot be performed via import due to the possibility of late applicants and anti-selection. However, new groups may send a file to cross-reference with the enrolments received to ensure compliance.
Changes such as terminations, address changes, salary changes, gender, and name may be done via import.
Leaves of absences, disabilities and terminations that require an extension of benefits past the last date worked are not able to be completed via import due to extra documentation that may be required from the insurance carrier. These can still be submitted through https://admin.beneplan.ca.
The cadence of the import will be monthly, followed by a follow-up call to go through anomalies or errors if the import failed (ex missing information, mis-matched data, etc).
