How to Set Up and Manage Project-Specific Email Notifications in Billy

With Billy’s Project-Specific Email Notifications, you can decide exactly which projects you want to receive updates for. This feature helps ensure you never miss important vendor document uploads or vendor-specific updates, without cluttering your inbox with irrelevant alerts.

Why Use Project-Specific Notifications?

  • Reduce Inbox Overload – Only get notified about the projects you’re responsible for.

  • Stay Informed – Keep track of new documents, COIs, and other updates as they happen.

  • Better Team Coordination – Easily control who on your team receives which updates, ensuring the right people get the right information.


Enabling Project Notifications

  1. Go to Settings

    • From your Billy dashboard, click on your profile icon or main menu (depending on your interface) and select Settings.

  2. Select “Email Notifications”

    • In the Settings menu, find and click Email Notifications.

  3. Turn On/Off Global Notifications (Optional)

    • You can enable global notifications if you want to receive notifications for every project. However, most users prefer managing notifications at the project level instead.


Subscribing to Specific Projects

  1. Locate the Project

    • From the Billy dashboard, open Projects (or the relevant project list).

  2. Access Notification Settings

    • Click the … (project menu) menu or Settings icon next to the project you want to manage.

  3. Enable Notifications

    • Look for the Notifications option. Toggle the setting to On or Subscribe for that project.


Adding or Removing Team Members

  1. Open the Project

    • Go to Projects and select the project you want to update.

  2. Project Menu → “Notifications”

    • Within the project details, locate the Notifications or Manage Notifications button.


  3. Manage the Team List

    • Add or remove users by checking/unchecking their names.

  4. Save Changes

    • Click Save or Update Notifications to finalize.


Unsubscribing from Notifications

  1. Go to Settings → Email Notifications

    • In your account settings, locate Email Notifications.


  2. Disable Specific Projects

    • Under Subscribed Projects, toggle off or click Unsubscribe for the project(s) you no longer wish to receive updates from.

  3. Turn Off Global Notifications (If Enabled)

    • If you’d previously turned on global notifications, switch it off if you prefer not to receive notifications from any projects.


Frequently Asked Questions

Q: Can I subscribe to multiple projects at once?

A: Yes. In the Email Notifications settings, you’ll see a list of all your active projects. Simply enable notifications for each project you need.

Q: Will turning on global notifications override my project subscriptions?

A: Global notifications send alerts for all projects, so you may receive duplicates if you’re also subscribed at the project level. To avoid duplicates, choose either global or project-level notifications—not both.

Q: Can project notifications be assigned automatically to new team members?

A: This depends on your organization’s Billy settings. By default, new users are not automatically subscribed to all projects, but an account admin can update those settings or subscribe them to specific projects.

Q: Will I still get notifications for expired policies if I unsubscribe?

A: No. When you unsubscribe from a project, you won’t receive any notifications about documents or policies related to that project.
