Understanding Vendor Compliance Statuses in Billy

A breakdown of every vendor and document-level compliance status in Billy: what each one means, when it applies, and where to find them.

Every vendor in Billy has a compliance status that reflects whether they've met your insurance requirements. Understanding what each status means helps your team know when to take action and what it looks like when a vendor is truly cleared to work.


The Main Vendor Statuses

Compliant

The vendor has submitted all required documents, and Billy has reviewed and approved them. All policies are current and meet your requirements. No action needed. Our favorite ;)

Non-Compliant

The vendor has one or more outstanding issues. This could mean:

  • A required document hasn't been submitted yet

  • A submitted document was reviewed and rejected (missing coverage, wrong limits, wrong certificate holder, etc.)

  • A previously compliant document has expired

Non-compliant vendors will appear on the Needs Attention page and in the Non-Compliant Dashboard report.

Pending Review

The vendor has submitted documents that are waiting to be reviewed. On Managed Plan accounts, the Billy review team handles this. On self-service software accounts, your internal reviewers handle document review.


Document-Level Requirement Statuses

Within a vendor's compliance record, each individual requirement also has its own status. These are selected during document review:

  • Approved — the requirement is met

  • Rejected — the requirement was reviewed and did not meet standards; vendor notified

  • Waived — the requirement has been intentionally exempted for this vendor

  • Approved Non-Compliant — the document doesn't fully meet requirements but has been manually approved with a note

  • Pending — waiting for document submission or review


Where to See Compliance Statuses?

Vendor compliance statuses appear in several places in Billy:

  • Vendor Directory — overall compliance status for each vendor

  • Projects Page — per-project compliance for vendors on that project

  • Needs Attention Page — all vendors requiring action

  • Dashboard Reports — exportable lists filtered by status
