Setting Up Email Notifications for Prequalification Submissions

Choose which team members get notified every time a subcontractor submits a Prequalification Form — and manage that list at any time.

Overview

When a subcontractor submits your Prequalification Form, Billy can automatically send an email notification to the team members of your choice. This ensures the right people are alerted right away — so no submission slips through the cracks.

You can add as many recipients as you need, and manage the list at any time from Settings > Prequalification.

Where to Find Email Notification Settings

  1. Click Settings in the left-hand navigation.

  2. Under Team Settings, click Prequalification.

  3. Scroll down to the Email Notifications section at the bottom of the page.

Adding a Notification Recipient

To add a team member to the notification list:

  1. In the Email Notifications section, click the Select a user dropdown.

  2. Find and select the team member you want to notify.

  3. Their email address will appear in the list above the dropdown, confirming they've been added.

  4. Repeat for any additional team members you'd like to include.

💡 Tip: There's no limit to how many recipients you can add. You can notify your entire team — project managers, compliance officers, and admins alike — as long as they are existing users in your Billy account.

Removing a Recipient

To remove someone from the notification list:

  1. In the Email Notifications section, find the email address you want to remove.

  2. Click the X next to their email address.

  3. They will immediately be removed from future notifications.

What the Notification Email Includes

When a subcontractor submits the Prequalification Form, each recipient on the list will receive an email from Billy <no-reply@billyforinsurance.com> with the subject line: New Prequalification Submission.

The email includes a direct link to review the submission inside Billy — no manual searching required. Just click the link and you'll land directly on the submission for review.

📌 Note: Only existing users in your Billy team can be added as notification recipients. If someone on your team is not yet in Billy, an Admin will need to invite them first via Settings > Users before they can be selected here.

Reviewing Submissions After You're Notified

Once you receive a notification, you can review the subcontractor's submission in two ways:

  • From the email — click the link in the notification email to go directly to the submission in Billy.

  • From Billy — navigate to Needs Attention in the left-hand menu, then go to the Directory tab and select the PreQual tab to see all pending submissions.

Frequently Asked Questions

Can I add someone who isn't a Billy user?

No — recipients must be existing users on your Billy team. To add a new person, first invite them under Settings > Users, then add them to the notification list once their account is active.

Will recipients get a notification for every submission, or just the first one?

Every submission. Each time a subcontractor completes and submits your Prequalification Form, all listed recipients will receive a notification email.

What if I don't want anyone notified?

Simply remove all recipients from the notification list by clicking the X next to each email address. Submissions will still be captured in Billy under Needs Attention — they just won't trigger an email alert.
